Job Summary

The Night Auditor is responsible for overseeing Front Desk operations during the overnight shift while completing the hotel’s daily financial and operational audit. This position serves as the primary guest service representative overnight and is responsible for providing a welcoming and professional experience for guests while ensuring the accuracy and completion of the hotel’s End of Day processes.


Primary responsibilities include checking guests in and out, processing reservations, responding to guest requests, balancing daily transactions, completing audit procedures, preparing and distributing reports, and maintaining awareness of hotel safety and security throughout the overnight shift.


The Night Auditor must be comfortable working independently, making sound decisions, and taking ownership of the hotel’s overnight guest experience.


EDUCATION & EXPERIENCE

  • High school diploma or equivalent required.
  • Previous hotel Front Desk, Night Audit, accounting, or guest service experience preferred.
  • Previous experience with a hotel Property Management System preferred.
  • Marriott or Courtyard experience is a plus but not required.
  • Basic accounting, reconciliation, and cash-handling experience preferred.

  • Ability to understand basic accounting concepts and balance financial transactions.

  • Ability to communicate clearly and professionally with guests, associates, and management.
  • Ability to remain calm and make sound decisions during guest concerns, emergencies, or unexpected situations.
  • Must be able to prioritize multiple responsibilities and complete required audit processes within established deadlines.
  • Ability to operate hotel computer systems, P.O.S. systems, credit card terminals, and standard office equipment.
  • Must maintain confidentiality of guest, associate, and company information.
  • Must work well in stressful or high-pressure situations.
  • Must be dependable and able to maintain consistent attendance for scheduled overnight shifts.
  • Ability to work weekends and holidays based on hotel business needs.

Job Duties & Functions

  • Approach all interactions with guests and associates in a friendly, professional, and service-oriented manner.
  • Comply at all times with Avion Hospitality and brand standards and regulations to promote safe and efficient hotel operations.
  • Maintain regular and reliable attendance based on the operational needs of the hotel.
  • Maintain professional appearance and grooming standards, including proper uniform and name tag in accordance with hotel and brand requirements.
  • Perform all Front Desk responsibilities during the overnight shift, typically 11:00 p.m. to 7:00 a.m.
  • Register and check in arriving guests and efficiently complete guest check-outs.
  • Process reservations, room assignments, room changes, extensions, cancellations, and other Front Desk transactions.
  • Respond promptly and professionally to guest questions, requests, concerns, and complaints and escalate significant matters to management when appropriate.
  • Initiate and successfully complete the hotel’s End of Day/Night Audit process.
  • Complete the Night Audit checklist and all required system procedures each night.
  • Review and balance daily transactions, postings, payments, adjustments, and departmental activity for accuracy.
  • Identify discrepancies and research or communicate variances in accordance with established procedures.
  • Complete required Food & Beverage and Bistro audit procedures, where applicable.
  • Maintain cashiering responsibilities and accurately process cash, credit card, and other payment transactions.
  • Maintain accurate Front Office records, shift logs, guest notes, and required documentation.
  • Run, review, and distribute required nightly and morning operational and financial reports.
  • Prepare and distribute the Daily Flash Report or other daily revenue reports as required.
  • Review and process house accounts, direct bill accounts, and supporting documentation according to established procedures.
  • Organize and distribute audit documentation, folios, vouchers, reports, and other supporting materials in accordance with hotel procedures.
  • Maintain working knowledge of the hotel's Property Management System, payment systems, and other Front Office technology.
  • Ensure guest information, financial information, room numbers, keys, and other confidential information are handled securely.
  • Maintain awareness of hotel occupancy, arrivals, departures, VIPs, groups, special requests, and significant events that may impact overnight operations.
  • Communicate relevant overnight activity and unresolved issues to the incoming Front Desk team and hotel leadership.
  • Follow all hotel safety, security, and emergency procedures.
  • Maintain working knowledge of emergency response procedures, including fire alarms, severe weather, medical emergencies, guest disturbances, and other emergency situations.
  • Conduct or coordinate required overnight security and property walks, where applicable, and report safety or security concerns immediately.
  • Maintain appropriate radio or other communication with hotel associates working during the overnight shift.
  • Monitor public areas and immediately report suspicious activity, safety hazards, maintenance concerns, or unusual circumstances.
  • Follow established procedures for guest and associate incidents and complete appropriate documentation.
  • Handle Lost and Found items in accordance with established procedures.
  • Be familiar with Avion Hospitality policies, hotel procedures, house rules, and applicable brand standards.
  • Maintain knowledge of hotel services, amenities, hours of operation, local attractions, and transportation options to assist guests.
  • As applicable to the hotel, assist with Bistro or Market transactions and limited food and beverage service during designated hours.
  • Maintain a clean, organized, and professional Front Desk and lobby environment throughout the overnight shift.
  • Assist with training new Night Auditors or Front Desk associates as requested by management.
  • Complete reports, special projects, and other assignments requested by management in a timely and accurate manner.
  • Attend required meetings and training sessions.
  • Perform other duties as assigned by the supervisor or manager.
