Position Summary
This position supports the mission of the Church by overseeing all buildings and grounds operations to ensure parish facilities are safe, clean, and fully functional. The Maintenance Supervisor provides coordination, planning, communication, and oversight of maintenance operations while assisting with hands-on work as needed.
Essential Duties and Responsibilities:
Facilities Oversight and Safety
- Ensure all parish buildings and grounds are maintained in a safe, clean, and attractive condition.
- Identify and address safety concerns proactively.
- Oversee compliance with safety standards and best practices.
Maintenance Coordination and Preventative Care
- Develop and maintain a preventative maintenance schedule for all parish systems and equipment.
- Coordinate maintenance of HVAC systems in collaboration with vendors.
- Coordinate maintenance of plumbing systems, water heaters, and fixtures.
- Coordinate electrical system maintenance through vendors as needed.
- Oversee maintenance of roofing, parking lots, and exterior structures.
- Coordinate fire sprinkler inspections and safety systems.
- Oversee water filtration systems, including drinking fountains and kitchen equipment.
- Maintain air purifier filters and other recurring maintenance items.
- Coordinate routine maintenance such as ice machine and coffee maker cleaning.
- Coordinate carpet cleaning, tile sealing, landscaping, and weed control.
Staff and Vendor Coordination
- Supervise and schedule the work of maintenance staff.
- Coordinate event setup and cleaning responsibilities with staff and vendors.
- Manage vendor relationships including HVAC, landscaping, pest control, and repairs.
- Obtain bids and oversee contracted work to ensure quality and completion.
Event and Ministry Support
- Communicate regularly with parish staff and ministry leaders regarding facility needs.
- Ensure spaces are properly prepared for meetings and events.
- Coordinate timely setup and teardown of rooms and facilities.
Work Order and Task Management
- Manage maintenance requests using a structured system.
- Maintain and prioritize a list of ongoing and upcoming work.
- Respond to requests in a timely manner and communicate updates.
Facility Organization and Inventory
- Maintain organized and functional storage areas.
- Ensure supplies are stocked and accessible for staff and volunteers.
- Coordinate supply needs across campus, including rectory support.
- Maintain inventory of maintenance supplies and equipment.
Administrative Responsibilities
- Check and respond to work-related emails daily.
- Track and submit receipts in a timely manner.
- Maintain documentation of completed work and ongoing projects.
- Communicate regularly with the Parish Manager regarding priorities and needs.
- Assist in planning and managing the maintenance and facilities budget.
Campus Operations Support
- Coordinate campus opening and closing (locking) procedures as assigned.
- Coordinate with leadership regarding security procedures and facility access.
Additional Responsibilities
- Perform minor repairs and hands-on maintenance work as needed.
- Assist with special projects and capital improvements.
- Performs other duties as assigned.
Qualifications
- Strong working knowledge of building and grounds maintenance practices.
- Ability to coordinate multiple projects and priorities effectively.
- Strong organizational and communication skills.
- Ability to supervise staff and coordinate vendors.
- Ability to develop and follow maintenance schedules.
- Basic proficiency in carpentry, plumbing, and general repair work.
- Ability to lift up to 50 pounds and perform physical tasks.
- Ability to use ladders, lifts, and maintenance equipment safely.
- Ability to maintain positive working relationships with staff, volunteers, and parishioners.
- High school diploma or equivalent.
- Minimum of 3 years’ experience in maintenance or facilities work.
Physical and Work Requirements
This position involves both office coordination and physical maintenance work. Requires lifting, bending, climbing ladders, and working indoors and outdoors. Evening and weekend work may be required.
