Position Summary

The Government Contract Specialist I supports Vertosoft's public sector contracting operations across Federal and State, Local, and Education (SLED) markets by assisting with contract administration, regulatory compliance, contract documentation, reporting, proposal support, and contract lifecycle activities.

Working under the guidance of the Government Contracts Program Manager, this position develops foundational expertise in government procurement regulations, Federal acquisition requirements, state and local procurement frameworks, cooperative purchasing programs, contract administration, and contractual risk awareness while supporting accurate, timely, and compliant execution.


The Government Contract Specialist I serves as an emerging contract administration resource for internal stakeholders and supports professional communications with government contracting and procurement officials, cooperative purchasing organizations, prime contractors, subcontractors, suppliers, teaming partners, and other external stakeholders regarding routine contractual matters. The employee may develop deeper expertise within an assigned Federal or SLED portfolio while building broader knowledge of Vertosoft's government contracting environment. Employees may use a portfolio-specific title such as Federal Contract Specialist I or SLED Contract Specialist I while remaining mapped to the Government Contract Specialist I job role and pay band.



Core Responsibilities

Government Contract Administration

· Assist in administering Federal and/or SLED contracts, contract vehicles, task orders, amendments, modifications, renewals, extensions, and closeouts throughout the contract lifecycle.

· Support contract award administration, implementation, and contract file management.

· Maintain complete, organized, accurate, and audit-ready contract documentation.

· Track contractual deliverables, reporting deadlines, option periods, renewal schedules, modifications, administrative requirements, and key milestones.

· Support administration of government contract vehicles and associated documentation.

· Ensure contract records and administration activities comply with company policies and applicable government requirements.


Federal Acquisition & Contract Support

· As applicable to assigned portfolio, support administration of Federal contracts and vehicles, including GSA Schedule contracts and agency-specific vehicles.

· Develop familiarity with FAR, DFARS, agency supplements, Federal acquisition regulations, and related compliance requirements.

· Assist with Federal representations, certifications, clauses, flow-down provisions, and contractual exhibits.

· Support use of Federal procurement systems such as SAM.gov, GSA eBuy, GSA Advantage!, PIEE, and related platforms.

· Assist with recurring Federal contract reporting and audit-readiness documentation.


SLED & Cooperative Purchasing Support

· As applicable to assigned portfolio, support administration of state, local, and education contracts, statewide vehicles, and cooperative purchasing agreements.

· Support cooperative purchasing programs such as NASPO ValuePoint, OMNIA Partners, Sourcewell, TIPS, and similar programs.

· Assist in maintaining participation documentation and tracking utilization reporting, administrative fee reporting, renewals, and other cooperative obligations.

· Support compliance with state procurement regulations, cooperative purchasing requirements, and applicable contract terms.

· Develop familiarity with state procurement portals and cooperative purchasing platforms.


Regulatory Compliance

· Support compliance with FAR, DFARS, agency-specific requirements, state procurement regulations, cooperative purchasing requirements, and applicable contract terms.

· Assist in reviewing contract clauses, flow-down provisions, participation requirements, certifications, and contractual provisions.

· Support internal compliance reviews, audit preparation, and documentation requests.

· Monitor assigned contracts for routine compliance obligations and reporting requirements.

· Identify and escalate contractual, regulatory, or compliance concerns appropriately.


Proposal & Contract Support

· Assist Sales, Finance, Operations, and other departments in preparing contract-related documentation supporting RFPs, RFQs, RFIs, modifications, renewals, and new contract opportunities.

· Compile required representations, certifications, contractual exhibits, and supporting documentation.

· Support solicitation reviews to identify administrative, contractual, reporting, and compliance requirements.

· Maintain proposal and contractual documentation in accordance with company procedures.


External Stakeholder & Contract Administration

· Support communications with government contracting officers, contract specialists, state procurement officials, cooperative purchasing organizations, agencies, educational institutions, prime contractors, subcontractors, suppliers, and teaming partners regarding routine contractual matters.

· Coordinate the exchange of contractual documentation, certifications, amendments, modifications, and administrative information under supervision.

· Respond professionally to routine contract administration inquiries while escalating complex matters appropriately.

· Build productive working relationships that support timely contract execution and regulatory compliance.


Contract Reporting & Documentation

· Gather contract information required for internal reporting, government customer deliverables, and cooperative purchasing obligations.

· Assist in preparing recurring Federal, state, local, education, and cooperative purchasing reports, as applicable.

· Maintain accurate contract information within contract lifecycle management systems and CRM platforms.

· Support audit documentation requests and regulatory reporting activities.

· Verify the accuracy and completeness of contract records and structured data.


Internal & External Stakeholder Engagement

· Partner with Sales, Operations, Finance, and other internal departments to support compliant contract execution.

· Coordinate with external stakeholders to obtain required contractual documentation and information.

· Support continuous improvement of government contract administration processes.

· Maintain professional and responsive communications with internal and external stakeholders.

Exercises judgment in completing assigned activities while escalating contractual interpretation questions, regulatory concerns, cooperative purchasing issues, agency-specific matters, and non-standard contract issues to the Government Contracts Program Manager.

· Supports the integrity of government contract administration, compliance, reporting, and documentation. Accurate execution contributes to regulatory compliance, audit readiness, customer confidence, and mitigation of contractual risk across Vertosoft's public sector portfolio.


Supervisory Responsibility

· None.


Level of Autonomy

· Works independently on routine contract administration activities while receiving regular guidance on more complex contractual, regulatory, or cooperative purchasing matters. Develops increasing proficiency in government procurement and contract lifecycle management.


Qualifications

Education

· Bachelor’s degree in Business Administration, Public Administration, Management, Legal Studies, or a related field required.


Experience

· 0–2 years of experience in government contract administration, contract compliance, procurement support, legal operations, or a related field.

· Internship or cooperative education experience supporting government contracting or public procurement environments is considered applicable experience.

· Exposure to Federal and/or State, Local, and Education procurement environments is preferred.


Technical Skills

· Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.

· Experience with contract lifecycle management systems is preferred.

· Familiarity with Federal procurement systems such as SAM.gov and/or state procurement and cooperative purchasing portals is preferred.

· Experience with CRM platforms such as Salesforce is preferred.

· Ability to maintain accurate contract documentation and structured data.
