Community Manager (Santa Fe)
Santa Fe, NM • Real Estate
Job Type
Full-time
Description

Position Overview:
Heritage Ascent is seeking a Community Manager to support the day-to-day operation, member experience, sales, marketing, and growth of our coworking locations.

This is not a traditional receptionist or front-desk position. The Community Manager is a primary onsite point of contact for members, guests, and prospects while also supporting lead follow-up, tours, proposals, marketing, member engagement, billing, reporting, and business operations.

Heritage Ascent is in a growth phase. We are implementing new technology, expanding our sales and marketing efforts, developing standardized operating procedures, and building the systems that will support future locations.

This role is ideal for someone who is highly responsive, entrepreneurial, organized, comfortable talking to people, and excited by variety. No two days will look exactly the same. We are looking for someone who notices opportunities, brings forward ideas, follows through, and wants to help build and grow the business.

Key Responsibilities:

  • Serve as a primary onsite point of contact for members, guests, and prospective clients
  • Create a professional, welcoming, hospitality-focused experience and build strong relationships with members
  • Coordinate member onboarding, office access, conference room bookings, mail and packages, meeting preparation, and other member services
  • Prepare coffee and hospitality areas, monitor supplies, regularly walk the space, and ensure the location remains clean, organized, stocked, and ready for members and guests
  • Identify maintenance, janitorial, technology, and facility needs and follow requests through resolution
  • Respond promptly to new leads and member inquiries by phone, email, website live chat, and in person
  • Proactively call and follow up with prospects, schedule and conduct tours, prepare proposals, and support leads through the sales process from initial inquiry through membership and onboarding
  • Monitor website live chat throughout the workday, including mobile notifications when away from the desk, so inquiries receive timely responses
  • Support Heritage Ascent marketing efforts, including social media, blog and website content, email marketing, digital listings, member communications, and lead-generation campaigns
  • Create and update social posts, emails, flyers, presentations, and other materials using established templates and brand standards, primarily in Canva
  • Assist with digital advertising, marketing performance tracking, grassroots outreach, broker and community relationships, and other business development initiatives based on experience and team needs
  • Prepare recurring member communications highlighting events, benefits, discounts, amenities, and other relevant information
  • Help plan member events, networking opportunities, referral programs, surveys, giveaways, and other community-building initiatives
  • Gather member feedback and help identify and implement opportunities to improve the member experience and retention
  • Maintain accurate member, prospect, booking, billing, marketing, and operational information
  • Assist with monthly reporting and tracking of key metrics such as leads, tours, proposals, conversions, occupancy, renewals, cancellations, revenue, and member engagement
  • Identify inefficient or overly manual processes and help develop, document, and improve Standard Operating Procedures (SOPs)
  • Bring forward ideas for improving member experience, marketing, sales, operations, and business growth

Team members may take greater ownership of specific areas such as digital marketing, events, sales outreach, content creation, reporting, or other initiatives based on individual strengths and experience.

Yardi Kube & Technology:

Heritage Ascent is currently implementing Yardi Kube as its primary coworking management platform. Community Managers may assist with implementation, testing, data entry, workflow development, and transitioning existing processes into the new system.

Some tasks may remain manual while implementation is underway. Once launched, Yardi Kube will support functions such as memberships, agreements, bookings, billing, member accounts, service requests, and other day-to-day operations.

Team members are expected to learn new technology quickly and look for opportunities to reduce repetitive administrative work, eliminate duplicate processes, and improve efficiency.

Previous experience with Yardi Kube or another coworking, CRM, property management, membership, booking, or billing platform is a plus but not required.

One Team, Multiple Locations:

Heritage Ascent operates as one team across all locations. Each Community Manager will have a primary location, but responsibilities and projects support the business as a whole.

  • Participate in a weekly Heritage Ascent team meeting to review leads, occupancy, member feedback, marketing, operations, priorities, and new ideas
  • Collaborate with team members across locations and share responsibilities based on workload, business needs, and individual strengths
  • Support prospects, members, proposals, marketing, reporting, and other projects across Heritage Ascent locations
  • Provide backup coverage at other locations as needed and assist with the launch of future locations
  • Approved business mileage between locations is reimbursed in accordance with company policy
Requirements
  • Highly responsive with strong follow-through
  • Comfortable speaking on the phone, including calling and following up with new leads
  • Professional, friendly, and hospitality-focused
  • Reliable, punctual, organized, and detail oriented
  • Strong written and verbal communication skills
  • Proactive and comfortable taking initiative
  • Entrepreneurial mindset with an interest in bringing forward ideas and helping implement them
  • Comfortable learning and using new technology and business systems
  • Able to manage multiple priorities and shift between customer-facing, sales, marketing, administrative, and hands-on operational responsibilities
  • Ability to work independently while collaborating closely with a small team
  • Proficiency in Microsoft Office
  • High school diploma or equivalent required; college coursework or a degree in business, hospitality, marketing, communications, technology, or a related field is preferred
  • Ability and willingness to travel between Heritage Ascent locations as business needs require
  • Ability to lift up to 25 pounds and assist with meeting room setup, supplies, and other light physical activities

Experience in coworking, hospitality, customer service, sales, marketing, events, office operations, business development, or business operations is preferred but not required. Experience with Yardi Kube or similar software, Canva or Adobe Creative Suite, social media, email marketing, digital advertising, content creation, CRM systems, reporting, or SOP development is also a plus.

Schedule:

  • Full-time, onsite position
  • Monday through Friday, 8:00 AM–5:00 PM
  • Primary Heritage Ascent location assigned, with flexibility to work from other locations as business needs require
  • Occasional evening or weekend availability may be needed for events, bookings, coverage, or other business needs

Opportunity for Growth:

Heritage Ascent is actively growing and building the team, technology, systems, and operating model that will support future expansion. This position provides exposure to sales, marketing, hospitality, operations, technology, reporting, and business development.

As Heritage Ascent grows, successful team members will have opportunities to take on greater responsibility, develop areas of expertise, participate in new locations and initiatives, and grow into new or expanded roles within the company.

We are looking for people who are excited to help build the business, contribute ideas, improve how we operate, and grow alongside Heritage Ascent.
