Gateway Rehab Center (GRC) is hiring a full-time Administrative Assistant for our inpatient facility, The Greenbriar Center, in Washington, PA! In this important administrative role, you will provide front desk and clerical support for our Withdrawal Management and Residential Programs while helping create a welcoming, professional experience for patients, families, visitors, and staff.

The Administrative Assistant plays a critical role in helping patients begin their recovery journey by ensuring a smooth, professional, and welcoming admissions experience. As an Administrative Assistant, you'll help create a positive first impression while ensuring communications, admissions support, and daily administrative functions run smoothly. Your work helps patients, families, and staff access the information and support they need, contributing to a welcoming and efficient treatment environment. Responsibilities:

  • Answer incoming telephone calls, transfer calls, and accurately relay messages to appropriate staff.
  • Provide information regarding GRC programs and services to patients, families, physicians, and visitors.
  • Greet patients and family members as they arrive to begin the admissions process.
  • Collect and copy photo identification, insurance cards, and prescription cards for new admissions when available.
  • Coordinate scheduled appointments with the Admissions Department.
  • Serve as a communication liaison during emergency situations.
  • Perform routine administrative duties, including preparing memos, forms, letters, and other documents.
  • Accurately distribute patient belongings dropped off at the front desk.
  • Manage multiple tasks simultaneously while maintaining a calm and professional demeanor.
  • Handle stressful situations and maintain composure during high-pressure scenarios.
  • Ensure the waiting area remains clean, welcoming, and comfortable.
  • Attend required GRC trainings and in-service programs.
  • Perform other duties as assigned.

Requirements

What Do We Require?

  • High school diploma or equivalent.

Preferred Qualifications

  • Some college coursework.
  • Knowledge of 12-Step programs and/or addictions.

Additional Requirements

  • Pass a PA Criminal History Record Check.
  • Obtain PA Child Abuse and FBI Fingerprinting Clearances.
  • Must remain awake and alert while on duty.
