Part-time Location: Costa Mesa, CA Remote/Hybrid Eligible: ?Yes ?No Position Summary: The Operations Coordinator supports the daily execution of brokerage freight, handling appointment scheduling, carrier and customer communication, shipment tracking, and exception resolution. This role is both carrier-facing and customer-facing, keeping loads moving on schedule and flagging problems before they become service failures. It works closely with Carrier Sales, the Director of Carrier Operations, and the customer service team to keep freight visible and on track from pickup to delivery. Key Duties and Responsibilities: • Schedule and confirm pickup and delivery appointments with vendors, DCs, and receiving locations • Serve as a point of contact for carriers and customers on load status, appointment changes, and delays • Track shipments in transit and proactively update status in Revenova and to relevant parties • Manage exceptions, missed appointments, delays, detention, rejected loads, and escalate issues that need broker or ops leadership involvement • Communicate with vendors and DCs to confirm appointment windows and resolve scheduling conflicts • Support carrier sales reps with load coverage follow-up and carrier communication as needed • Assist the customer service team with status updates, documentation requests, and issue resolution • Collect and file proof of delivery, rate confirmations, and related shipment documentation • Maintain accurate load and appointment records within Revenova and related systems • Flag recurring service issues or problem lanes to the Director of Carrier Operations • Support carrier compliance checks (insurance, authority, Highway status) prior to load assignment • Coordinate with carriers on appointment windows, detention, and check calls throughout the day • Support onboarding of new carriers into tracking and communication workflows as needed • Assist with special projects as assigned Required Qualifications: • High school diploma or equivalent required • At least one year of experience in logistics, dispatch, customer service, or transportation support preferred • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook); ability to learn Revenova and related TMS tools • Prior experience with multi-line phone systems (RingCentral) and high call volume • Strong written and verbal communication skills • Excellent organizational skills and attention to detail; ability to multi-task and prioritize in a fast-paced environment • Strong problem-solving skills and comfort managing time-sensitive issues under pressure Preferred Skills and Experience: • Associate's degree in business, logistics, or supply chain preferred; equivalent experience accepted • Experience with appointment scheduling or dock scheduling systems
