Position Summary
The Executive Assistant position provides high-level administrative professional support in a well-organized and timely manner for the Market Lead and Relationship Managers, while also coordinating Front of House and day-to-day office operations for the Onalaska location.
The Executive Assistant is responsible for coordinating client meeting preparation, anticipating needs, managing competing priorities, exercising sound judgment, and taking ownership of responsibilities through completion. The role requires strong organization, attention to detail, problem-solving skills, professionalism, and the ability to work independently in a fast-paced environment.
Principal Duties and Responsibilities
- Relationship Manager & Client Support
- Provide proactive administrative support to the Market Lead and Onalaska Relationship Managers.
- Maintain calendars and coordinate client meetings, conference calls, appointments and scheduling needs.
- Coordinate preparation for client meetings, including meeting materials and gathering and organizing necessary client information.
- Prepare correspondence, reports, meeting materials, and other business documents.
- Coordinate and follow through on client requests and routine account/service needs in partnership with Relationship Managers and internal teams.
- Assist with travel arrangements and detailed itineraries.
- Maintain accurate client and business records in accordance with firm policies and procedures.
- Understand and effectively utilize firm systems and workflows.
- Anticipate needs, prioritize competing requests, and ensure responsibilities are completed accurately and timely.
Client Experience & Front of House
- Serve as a primary point of contact for clients and visitors, creating a warm, professional, and welcoming experience.
- Answer and appropriately route incoming telephone calls and client requests.
- Coordinate client meeting logistics, including room scheduling, setup, refreshments, and reset.
- Maintain client-facing spaces and routinely assess the office to ensure it consistently reflects firm standards.
Onalaska Office Operations
- Coordinate incoming and outgoing mail, shipping, and deliveries.
- Manage office supply inventory and ordering.
- Coordinate facility maintenance requests and vendor interactions.
- Support office equipment management and troubleshooting coordination.
- Assist with check deposits, document processing, scanning, filing, and record management.
- Support office organization and operational efficiency initiatives.

Education and Experience Requirements
Required:
- High School diploma
- Minimum 3 years of experience in high-level administrative support, executive support, client service, professional services, or a related field.
Preferred:
- Associate or Bachelor’s degree
- Experience supporting business leaders or client-facing professionals.
- Experience in the financial industry
- Experience in hospitality, office management, or professional services environments.
