Bring Fargo together through memorable events and experiences. The Event Supervisor leads an assigned portfolio of signature community events from concept through event day and evaluation. This role owns the creative plan, budget, partnerships, logistics and onsite delivery for assigned events, and works closely with the Event Manager on larger district initiatives. The supervisor also helps prepare recurring community events for handoff to Part Time Event Coordinators and mentors staff and volunteers who bring each experience to life.
Essential Functions
Evaluation of this position is based primarily on performance of the following essential functions, which include, but are not limited to:
- Own assigned signature events: shape the experience, build work plans and timelines, manage event budgets, coordinate partners and vendors, and make day to day decisions within approved plans and policies.
- Lead event production from site layout, permits and equipment requests through staffing, accessibility, guest flow, safety planning, setup, execution and cleanup. Serve as the onsite lead for assigned events.
- Partner with the Event Manager on district scale initiatives. Take the lead on assigned operational elements, such as the build, run of show, guest experience and onsite teams, while the manager leads overall direction and cross department coordination.
- Build productive relationships with sponsors, performers, vendors, community partners, volunteers and Park District teams. Communicate clear expectations and resolve issues promptly and professionally.
- Help develop repeatable plans for smaller community events, including schedules, supplies, staffing, budget and marketing requests. Hand off complete plans to Part Time Event Coordinators and remain available for guidance.
- Train, schedule and mentor assigned part time and seasonal staff and volunteers. Coordinate event teams and provide useful feedback.
- Track expenses, purchasing, invoices and event documentation. Evaluate attendance, guest feedback, costs and outcomes; recommend ways to refresh, grow or improve events during the annual portfolio review.
- Represent the Fargo Park District at planning meetings and community events. Carry out work safely, follow District policies and perform related duties as assigned.
- A bachelor’s degree in hospitality, event management or a related field and three to five years of relevant event planning, production or supervisory experience.
- Strong organization and judgment, with the ability to manage several timelines, budgets and details while staying calm when plans change.
- Clear writing, confident communication and a welcoming approach to guests, coworkers, community partners and vendors.
- Experience leading teams and coordinating event operations, with sound customer service and problem solving skills.
- Proficiency with standard office and planning tools, including Microsoft Office; ability to learn the department’s project management systems.
- A valid driver’s license and the ability to work a flexible schedule, including evenings, weekends and holidays as events require.
