Position Summary 

The Workday Financial Planning & HCM Implementation Project Manager will lead the planning, coordination, and execution of a large-scale Workday implementation within a complex healthcare organization. This role will oversee project activities related to Workday Financial Planning and HCM, coordinating internal business and IT teams, Workday implementation partners, technical resources, and executive stakeholders. 

The Project Manager will be responsible for maintaining project scope, schedule, budget, resources, risks, issues, dependencies, and deliverables throughout the implementation lifecycle. The role will provide strong project governance and ensure that functional, technical, data, integration, testing, change management, training, and organizational readiness activities remain aligned toward successful deployment. 

The ideal candidate will have experience managing enterprise ERP, financial systems, HRIS, or Workday implementations and be comfortable operating in a highly matrixed healthcare environment. 


Key Responsibilities 


Project Leadership & Governance 

  • Lead the overall project management and implementation governance for Workday Financial Planning and HCM. 
  • Develop and maintain the integrated project plan, milestones, dependencies, deliverables, and critical path. 
  • Establish project governance, meeting structures, decision-making processes, and escalation procedures. 
  • Coordinate project activities across Finance, HR, IT, Payroll, Accounting, clinical/operational stakeholders, and other business areas. 
  • Facilitate project steering committee meetings and provide regular status reporting to executive leadership. 
  • Ensure project objectives, scope, timelines, and expected outcomes remain clearly defined and understood. 
  • Monitor project progress and proactively identify schedule, resource, scope, and delivery concerns. 

Workday Implementation Management 

  • Coordinate implementation activities across Workday Financial Planning and HCM workstreams. 
  • Partner with Workday implementation consultants and internal teams to establish and maintain implementation plans. 
  • Coordinate requirements gathering, design, configuration, data conversion, integrations, testing, reporting, training, and deployment activities. 
  • Ensure dependencies between Financial Planning, HCM, Payroll, Finance, and other systems are identified and actively managed. 
  • Coordinate decisions and approvals required to move workstreams through implementation milestones. 
  • Track configuration and design decisions and ensure appropriate documentation and stakeholder sign-off. 

Project Planning & Execution 

  • Build and maintain detailed project schedules and workstream plans. 
  • Establish milestones and measurable deliverables for each phase of the implementation. 
  • Track progress against baseline schedules and identify potential delays before they affect critical milestones. 
  • Coordinate resources across internal teams and external implementation partners. 
  • Facilitate project working sessions and ensure action items are clearly assigned and tracked to completion. 
  • Maintain project documentation, status reports, meeting materials, decisions, and action logs. 
  • Coordinate project activities across multiple concurrent workstreams. 

Risk, Issue & Dependency Management 

  • Establish and maintain project RAID logs covering risks, assumptions, issues, and dependencies. 
  • Proactively identify implementation risks and develop mitigation and contingency plans. 
  • Escalate significant issues and decisions to appropriate leadership in a timely manner. 
  • Monitor dependencies between Workday, legacy applications, integrations, data conversion, reporting, and organizational readiness. 
  • Coordinate issue resolution across business, technical, and vendor teams. 
  • Track decisions that may impact scope, timeline, cost, or implementation readiness. 

Data, Integration & Technical Coordination 

  • Coordinate data conversion, cleansing, mapping, validation, and reconciliation activities. 
  • Work with technical teams to ensure integration development and testing remain aligned with the overall project schedule. 
  • Track dependencies between Workday and existing ERP, HR, payroll, financial, reporting, and other enterprise systems. 
  • Ensure technical deliverables are incorporated into the overall implementation plan. 
  • Coordinate technical testing, defect resolution, mock conversions, and production readiness activities. 
  • Partner with the Workday Financial Planning Technical Analyst and other technical resources to manage data-related deliverables and dependencies. 

Testing & Quality Management 

  • Coordinate the overall testing strategy and schedule across functional and technical workstreams. 
  • Oversee planning for unit testing, system integration testing, regression testing, parallel testing, and user acceptance testing. 
  • Track test readiness, execution, defects, remediation, and sign-off. 
  • Ensure business stakeholders have appropriate resources and timelines to complete testing. 
  • Monitor critical defects and issues that could affect deployment readiness. 
  • Coordinate final validation and business sign-off prior to go-live. 

Organizational Readiness & Change Management 

  • Coordinate change management, communications, training, and organizational readiness activities. 
  • Ensure impacted departments and stakeholders are identified and appropriately engaged. 
  • Coordinate training schedules, materials, communications, and readiness activities with project milestones. 
  • Monitor organizational readiness and escalate areas requiring additional support. 
  • Support development and execution of the go-live and post-go-live stabilization strategy. 

Cutover & Go-Live 

  • Lead development and maintenance of the integrated cutover plan. 
  • Coordinate final data conversion, integrations, configuration, testing, training, communications, and operational readiness activities. 
  • Establish go/no-go criteria and coordinate readiness assessments. 
  • Facilitate go-live decision-making and executive readiness meetings. 
  • Coordinate command center activities during deployment and initial stabilization. 
  • Track post-go-live issues, priorities, and remediation activities through project closeout. 

Vendor & Partner Management 

  • Serve as a primary point of coordination between the health system and Workday implementation partners. 
  • Monitor vendor deliverables, milestones, commitments, and dependencies. 
  • Ensure vendor activities remain aligned with the approved project plan. 
  • Facilitate resolution of vendor-related issues and escalations. 
  • Participate in contract, scope, change request, and deliverable discussions as appropriate. 
  • Monitor project resources and ensure appropriate expertise is available when needed. 

Financial & Resource Management 

  • Track project budget, resource utilization, and major project expenditures. 
  • Monitor internal and external project resources against approved plans. 
  • Identify resource constraints and develop recommendations for addressing capacity issues. 
  • Support management of scope changes and associated schedule, resource, and financial impacts. 
  • Ensure project changes follow established governance and approval processes. 

Required Qualifications 

  • Bachelor's degree in Business, Information Technology, Project Management, Finance, Healthcare Administration, or a related field, or equivalent experience. 
  • 5+ years of project management experience with progressively increasing responsibility. 
  • Experience leading complex enterprise system implementations. 
  • Demonstrated experience managing multiple workstreams, teams, vendors, and competing priorities. 
  • Experience managing a Workday implementation, particularly Workday Financial Planning/Adaptive Planning and/or Workday HCM. 
  • Experience managing both financial and HR technology implementations. 
  • Healthcare or health system experience. 
  • Strong experience with project planning, scheduling, risk management, issue management, and executive reporting. 
  • Experience managing system implementation testing, data conversion, integrations, and go-live activities. 
  • Strong communication, facilitation, organization, and stakeholder management skills. 
  • Ability to operate effectively within a matrixed organization. 

Preferred Qualifications 

  • Experience managing large ERP, HRIS, financial planning, or enterprise application implementations. 
  • PMP, or similar project management certification. 
  • Agile, Waterfall, or hybrid project management experience. 
  • Experience working directly with Workday implementation partners. 
  • Experience managing enterprise data conversion and integration workstreams. 
  • Experience with organizational change management and enterprise transformation initiatives. 

Travel 

  • 10% Onsite but mainly remote

PHYSICAL DEMANDS OF THE ESSENTIAL FUNCTIONS:

Sitting, talking, hearing and near vision are required over 90% of the time. Feeling is required over 90% of the time and reaching is required about 50% of the time. The ability to travel to field sites may be required up to 15% of the time.


WORKING CONDITIONS WHILE PERFORMING ESSENTIAL FUNCTIONS:

Over 90% of the time is spent indoors, with protection from weather conditions. Exposure to noise levels that may be distracting or uncomfortable is present in only unusual situations.
