The Sales Operations Coordinator provides critical operational and administrative support to the hotel's Sales & Marketing team, with a primary focus on sales forecasting, lead management, group coordination, prospecting support and client engagement.
This position serves as an important connection between the Director of Sales, sales team, hotel departments and clients by ensuring sales opportunities are organized, properly assigned, accurately documented and followed through from initial inquiry through group arrival and post-event follow-up.
The ideal candidate is highly organized, detail-oriented, proactive and comfortable working in a fast-paced full-service hotel environment. This position requires strong communication skills, excellent follow-through and the ability to identify opportunities before they become deadlines.

The Day to Day
- Build targeted prospecting lists using repeat business, prior-year accounts, lost business and other market intelligence.
- Identify accounts and opportunities requiring sales follow-up.
- Maintain accurate and timely information within hotel sales and CRM systems.
- Assist with tracking sales activity, deadlines and follow-up opportunities.
- Serve as a primary point of contact for incoming sales calls and inquiries.
- Assist the sales team with client correspondence, presentations and account documentation.
- Maintain organized and accurate sales files.
- Prepare detailed group resumes and ensure all relevant information is accurately documented.
- Track and communicate group deadlines and required materials.
- Assist with pre-arrival group preparation and post-event follow-up.
- Process and track eligible planner loyalty/reward points.
- Assist in coordinating and preparing for client and planner site inspections.
- Support client appreciation and planner engagement initiatives.
- Assist with brand engagement activities and sales-related marketing initiatives.
- Help ensure clients receive a consistent and professional experience throughout the sales process.
Ideal Candidate
The ideal candidate is a highly organized hospitality professional who enjoys creating order, anticipating needs and keeping a sales team moving forward. They should be comfortable working behind the scenes while also interacting directly with clients, planners and hotel departments.
Success in this position requires someone who doesn't simply wait for the next task, but actively looks ahead—identifying upcoming deadlines, repeat-business opportunities, incomplete information and sales opportunities before they become problems.
A high school or equivalent education is preferred. Minimum one year hospitality, hotel sales, event coordination or administrative experience preferred.
Specific job knowledge, skills, and abilities:
- Ability to communicate, in both oral and written formats, in the language spoken in the workplace. Communication is polite, clear, concise, and accurate.
- Strong understanding of revenue management principles.
- Strong understanding of safety and health code standards.
- Proficient in Microsoft Office and sales and booking platforms; preferably Delphi and Opera, and willingness to learn hotel-specific sales and CRM systems.
- Strong attention to detail and ability to manage multiple deadlines simultaneously.
- Ability to work independently while also collaborating effectively with multiple hotel departments.
- Professional and personable demeanor with strong customer-service skills.
- Ability to maintain confidentiality and handle sensitive client and business information.
- Ability to prioritize tasks in a fast-paced environment.
- Problem solving, reasoning, motivating, and training abilities are essential.
- Ability to work a flexible schedule including nights, weekends, and/or holidays.
- Ability to engage with guests and colleagues to foster positive interactions and build strong relationships.
Physical demands:
- Constantly operate a computer or other office productivity machinery, such as a calculator, copy machine, or computer printer.
- Ability to demonstrate well-paced mobility for up to 8 hours in length occasionally.
- Ability to position self to operate office equipment frequently.
- Ability to transport or lift items weighing up to 35 pounds occasionally.
