Healthkeeperz is seeking an Administrative Coordinator to support our Community Alternatives Program (CAP) case management team. This position is based in one CAP office and helps keep referrals, records, reports, and office operations organized across the department.

Job Scope

  • Welcome visitors, answer and route calls, respond to routine questions, and handle mail and faxes.
  • Enter, route, and track CAP referrals; follow up on missing administrative information and document next steps.
  • Route admission information to the appropriate staff and coordinate administrative follow-up for needed services or supplies under established procedures.
  • Scan, upload, organize, and retrieve beneficiary records while protecting confidential information.
  • Maintain referral trackers, department reports, directories, shared files, and operational scorecard information.
  • Track employee document and education requirements, send routine reminders, and route sensitive matters to the appropriate leader or Human Resources.
  • Coordinate office inspections, readiness activities, supplies, and facility requests across CAP locations.

Requirements
  • A high school diploma or equivalent.
  • At least one year of administrative experience in healthcare, human services, or a similarly regulated setting.
  • Experience with Microsoft Office and electronic records or document management.
  • Strong organization, accurate data entry, professional communication, and sound judgment when handling confidential information.

An associate degree, healthcare administrative experience, or familiarity with Medicaid programs, referral coordination, medical records, Teams, SharePoint, or electronic medical records is helpful.
