Description

Position Summary

The HR Coordinator provides administrative and operational support across all Human Resources functions while serving as the organization's designated DDS Medication Coordinator. Under the direction of the Senior HR Generalist and in collaboration with the Human Resources team, this position supports employee lifecycle processes, HRIS administration, personnel records, leave administration, employee relations, workplace investigations, onboarding, credentialing, training coordination, regulatory compliance, and medication administration activities in accordance with Connecticut DDS regulations. The HR Coordinator maintains accurate documentation, tracks certifications and compliance requirements, and provides responsive support to employees, leaders, and departments across the organization while ensuring compliance with organizational policies and applicable federal and state laws.


Core Competencies

  • Human Resources Administration & Operations: Provides accurate, timely, and confidential administrative support across all Human Resources functions, including employee records, HRIS administration, onboarding, employment documentation, leave administration, and HR operations while ensuring compliance with organizational policies and employment regulations. 
  • Compliance, Credentialing & Regulatory Administration: Coordinates employee credentialing, certification tracking, regulatory compliance activities, and the organization's DDS Medication Administration Program while maintaining accurate records and ensuring compliance with federal, state, contractual, accreditation, and organizational requirements.
  • Employee Support & HR Service Delivery: Delivers responsive, professional, and customer-focused support to employees, leaders, and departments by assisting with HR inquiries, employee lifecycle processes, onboarding, employee relations administration, workplace investigations, and leave administration. 
  • Communication & Relationship Management: Builds collaborative relationships with employees, leaders, healthcare professionals, regulatory agencies, vendors, and community partners while communicating effectively, maintaining professionalism, and providing exceptional customer service.
  • Organization, Documentation & Continuous Improvement: Effectively manages multiple priorities, maintains accurate documentation and HR records, coordinates schedules and compliance activities, and identifies opportunities to improve administrative processes, efficiency, and service delivery. 
  • Professionalism, Ethics & Compliance: Demonstrates integrity, accountability, sound judgment, confidentiality, and ethical leadership while ensuring compliance with employment laws, organizational policies, accreditation standards, and HR best practices.


Essential Duties and Responsibilities

Human Resources Administration & Operations

  • Prepare employment offers and coordinate pre-employment requirements to ensure a positive candidate experience.
  • Provide administrative and operational support across all Human Resources functions, including employee lifecycle activities, HRIS administration, personnel records, and employment documentation.
  • Coordinate onboarding activities, new hire documentation, HRIS data entry, personnel file maintenance, and employment record management.
  • Prepare HR correspondence, employment documents, reports, and forms while ensuring accuracy, confidentiality, and compliance with organizational policies.
  • Assist with departmental projects, process improvements, audits, and other Human Resources initiatives as assigned.
  • Respond to employee and manager inquiries and provide general Human Resources support while delivering exceptional customer service.

Employee Relations, Leave Administration & Compliance

  • Provide administrative support for employee relations matters, workplace investigations, performance management activities, and corrective action processes, including preparing documentation, maintaining confidential records, and coordinating meetings. 
  • Assist with the administration of employee leave programs, including Family and Medical Leave Act (FMLA), Connecticut Paid Leave, Americans with Disabilities Act (ADA) accommodations, workers' compensation, and other protected leaves by coordinating documentation, tracking deadlines, and maintaining compliance records. 
  • Maintain employee personnel files and Human Resources records in accordance with organizational policies and applicable federal and state laws. 
  • Support Human Resources compliance activities, audits, reporting requirements, and process improvement initiatives.

Credentialing, Training & DDS Medication Administration

  • Serve as the organization's designated DDS Medication Coordinator in accordance with Connecticut DDS regulations.
  • Coordinate employee credentialing, certification tracking, medication administration certifications, delegated nursing documentation, recertifications, and regulatory compliance activities.
  • Maintain accurate records for employee certifications, required trainings, licenses, and regulatory documentation while monitoring renewal deadlines.
  • Coordinate medication administration training, recertifications, audits, and compliance reporting in collaboration with nursing staff and regulatory agencies.
  • Support training coordination, orientation logistics, and employee compliance with mandatory organizational and regulatory training requirements.

HR Systems, Records & Reporting

  • Maintain accurate employee information within the Human Resources Information System (HRIS) and other HR databases.
  • Prepare reports, maintain HR records, monitor compliance data, and support audits and reporting requirements.
  • Ensure employee documentation, credentialing records, and regulatory files are complete, accurate, and maintained in accordance with record retention requirements.

General Responsibilities

  • Perform other duties, assignments, and strategic initiatives as assigned in support of Human Resources and organizational objectives.
Requirements

Qualifications

Required Education and Experience

  • High school diploma or equivalent required.
  • Minimum of two (2) years of progressively responsible administrative experience in Human Resources, office administration, employee services, compliance, or a related field.
  • Experience supporting employee lifecycle processes, including onboarding, personnel records administration, HRIS data entry, and employment documentation.
  • Experience providing administrative support for leave administration, employee relations, workplace investigations, or regulatory compliance activities preferred.
  • Experience coordinating employee credentialing, certifications, training records, or compliance documentation preferred.
  • Proficiency with Microsoft Office Suite, Human Resources Information Systems (HRIS), and other office technologies.
  • Strong organizational, interpersonal, and customer service skills with the ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.

Preferred Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration, Psychology, Organizational Leadership, or a related field.
  • SHRM Certified Professional (SHRM-CP), Professional in Human Resources (PHR), or other applicable Human Resources certification.
  • Experience within nonprofit, healthcare, developmental disabilities, or human services organizations.
  • Experience supporting Family and Medical Leave Act (FMLA), Connecticut Paid Leave, ADA accommodations, workers' compensation, or other leave administration processes.
  • Experience serving as a Connecticut DDS Medication Coordinator or coordinating employee credentialing, regulatory compliance, or certification programs.
  • Experience utilizing Paylocity or a comparable Human Resources Information System (HRIS).


Knowledge, Skills, and Abilities

  • Knowledge of Human Resources principles, employment laws, recordkeeping requirements, and HR administrative best practices.
  • Working knowledge of federal and state employment laws, including FMLA, ADA, Connecticut Paid Leave, and other applicable employment regulations.
  • Knowledge of Connecticut DDS regulations related to medication administration, employee credentialing, and regulatory compliance preferred.
  • Strong organizational, time management, and administrative skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Strong written and verbal communication skills with the ability to interact professionally and effectively with employees, leaders, healthcare professionals, regulatory agencies, and external partners.
  • Proficiency in Microsoft Office Suite, Human Resources Information Systems (HRIS), and other business software applications.
  • Ability to maintain accurate records, prepare reports, coordinate documentation, and safeguard confidential employee and medical information.
  • Ability to exercise sound judgment, professionalism, discretion, and exceptional customer service while supporting Human Resources operations.


Physical Requirements

  • Ability to remain stationary and operate standard office equipment for extended periods.
  • Ability to occasionally lift and carry up to 20 pounds.
  • Ability to travel between organizational locations for meetings, employee support, training, compliance activities, and operational needs.
  • Ability to communicate effectively in person, virtually, and by telephone.


Working Conditions

  • Primarily works in a professional office environment with periodic travel between organizational locations.
  • Regular interaction with employees, leaders, healthcare professionals, regulatory agencies, vendors, and community partners.
  • May occasionally work evenings or weekends to support orientation sessions, training activities, compliance requirements, or other organizational initiatives.

  • Human Resources administrative processes, employee records, HRIS data, and employment documentation are maintained accurately, confidentially, and in accordance with organizational policies and applicable laws.
  • Employee onboarding, personnel transactions, credentialing activities, and Human Resources support services are completed accurately, timely, and contribute to a positive employee experience.
  • Leave administration, employee relations documentation, workplace investigation records, and compliance activities are coordinated effectively while ensuring confidentiality and adherence to federal, state, and organizational requirements.
  • Employee certifications, training records, and DDS Medication Administration Program requirements are accurately maintained, monitored, and remain compliant with Connecticut DDS regulations and organizational standards.
  • Human Resources reports, audits, regulatory documentation, and compliance records are completed accurately and within established deadlines.
  • Employees, leaders, healthcare professionals, regulatory agencies, and external partners receive responsive, professional, and customer-focused Human Resources support that promotes collaboration, trust, and operational excellence.

Compensation

  • Compensation for this position is based on experience, qualifications, and applicable organizational compensation practices, where applicable.
  • The salary range for this position will be provided in accordance with applicable federal and Connecticut pay transparency requirements.
