Position Summary

The Dental Receptionist reports to the Dental Supervisor and is responsible for ensuring patients have a current treatment plan and assisting with coordination of financial resources and insurance requirements. The position serves as a primary point of contact for patients and assists with greeting patients, scheduling appointments, answering phones, collecting payments, coordinating treatment plans, and performing other administrative functions that support the delivery of quality dental care. Supports and follows the vision, mission, goals, and objectives of Family Healthcare of Hagerstown.


As a member of the health center's integrated care team the Dental Receptionist will fulfill the following Key Functions and Responsibilities:

  • Greet patients and visitors in a professional, courteous, and welcoming manner.
  • Schedule and confirm patient appointments using established departmental guidelines.
  • Review and explain treatment plans with patients and address questions and concerns.
  • Coordinate financial resources and discuss patient financial responsibilities.
  • Collect payments and document financial arrangements as needed.
  • Educate patients regarding dental insurance benefits and coverage.
  • Submit pre-authorizations for dental procedures.
  • Follow up with patients regarding treatment plans, emergency visits, and outstanding appointments.
  • Answer incoming telephone calls in a helpful and professional manner.
  • Maintain patient records, scan documentation, and ensure accurate filing of records.
  • Support patient flow and communicate scheduling delays to providers.
  • Prepare daily closing reports and assist with balancing daily collections.
  • Maintain confidentiality and comply with HIPAA requirements.
  • Assist with administrative and clerical functions to support department operations.
  • Perform other duties as assigned.

Education

  • High school diploma or equivalent required.
  • Graduation from a Medical, Secretarial, Dental, or related program preferred.

Experience

  • Computer skills and related experience required.
  • Dental terminology required.
  • Experience with Electronic Dental Records (EDR) preferred.
  • Previous dental or healthcare office experience preferred.
  • Ability to become proficient in Family Healthcare of Hagerstown's systems and workflows.

Licensure/Certifications

  • No licensure required.
  • Current CPR certification preferred.

Physical and Mental Effort


Physical:

Minimum physical effort required. Intermittent sitting with freedom of movement. Occasional walking, bending, reaching, pulling, and lifting up to 20 pounds. Requires eye-hand coordination and manual dexterity to operate computers, telephones, calculators, photocopiers, and other office equipment. Normal vision and hearing, with or without reasonable accommodation, are required to safely perform essential job functions.


Mental:

Ability to work in a fast-paced environment while maintaining attention to detail and quality of work. Ability to interact effectively with patients, families, providers, staff members, community partners, and the general public. Frequent interruptions and competing priorities require flexibility, sound judgment, and professionalism.


Sensory:

Must be able to effectively communicate in spoken English and possess the ability to read, write, and comprehend English. Requires visual acuity sufficient to review records, utilize technology and safely perform essential job functions.


Environmental and Working Conditions

Work is performed in a modern, well-equipped healthcare environment. Daily interaction with patients, providers, dental staff, family members, community partners, and external organizations is required. Frequent use of computers, telephones, electronic health records, and office equipment is expected.


Employees may have exposure to biological hazards, communicable illnesses, and other healthcare-related risks. Employees are required to utilize appropriate personal protective equipment (PPE) and adhere to all infection control, OSHA, CDC, MOSH, organizational safety standards, and applicable regulatory requirements. Frequent interruptions and varying workloads are expected. Adherence to patient confidentiality, workplace safety, and professional standards is required at all times.

$18.22-$25.51 + any other compensation offered
