Texas Regional Physicians Urgent Care is seeking an experienced, dependable, and professional Front Office Lead to support the daily operations of our Urgent Care front desk team.


This position serves as the primary day-to-day resource for front office staff while remaining actively involved in patient registration, scheduling, referrals, medical administrative duties, and patient service. The ideal candidate is organized, approachable, comfortable providing direction to peers, and able to maintain a high level of professionalism in a fast-paced healthcare environment.


The Front Office Lead works closely with the Director of Urgent Care, providers, clinical staff, scheduling, referral teams, and other departments to help ensure patients receive timely and coordinated care.


Key Responsibilities

  • Serve as the primary day-to-day resource for Urgent Care front desk staff.
  • Help ensure staff understand daily assignments, workflows, responsibilities, and expectations.
  • Monitor front desk operations and address routine workflow concerns as they arise.
  • Delegate front desk responsibilities and follow up to ensure completion.
  • Assist with training and onboarding new front office employees.
  • Provide appropriate coaching and guidance to front desk staff and escalate significant concerns to the Director.
  • Maintain accurate patient registration, demographics, insurance, attorney/LOP, and other required information.
  • Review schedules for accuracy and help identify scheduling conflicts or incorrect provider assignments.
  • Support efficient patient check-in and check-out processes.
  • Assist with referrals, authorizations, insurance verification, LOP coordination, and follow-up.
  • Communicate professionally with patients, families, providers, attorneys, insurance representatives, and outside offices.
  • Assist with incoming calls, messages, faxes, medical administrative requests, and other front desk responsibilities.
  • Maintain knowledge of provider schedules, departmental workflows, and Urgent Care services.
  • Help maintain an organized, professional, and patient-focused front office environment.
  • Communicate staffing, workflow, and patient-service concerns to the Director of Urgent Care.
  • Perform regular Medical Administrative Assistant/front desk duties as operational needs require.
Requirements

 

Minimum Qualifications

  • High school diploma or equivalent required.
  • Previous medical front desk, medical administrative, or healthcare office experience required.
  • Working knowledge of patient registration, scheduling, insurance verification, referrals, and medical office workflows.
  • Strong written and verbal communication skills.
  • Strong organization, time-management, and problem-solving abilities.
  • Ability to prioritize multiple responsibilities in a fast-paced healthcare setting.
  • Ability to maintain patient and employee confidentiality.
  • Demonstrated reliability, professionalism, initiative, and attention to detail.
  • Comfortable providing professional direction and guidance to peers.

Preferred Qualifications

  • Previous Urgent Care, primary care, specialty practice, or similar outpatient healthcare experience.
  • Medical Assistant (MA) background or prior clinical experience is a plus.
  • Experience with Athena or a comparable electronic medical record/practice-management system.
  • Experience with LOP/personal injury workflows, referrals, authorizations, and patient-care coordination.
  • Previous Lead, Trainer, Supervisor, or other leadership experience preferred but not required.
