Procurement Manager
Description

 The Procurement Manager is responsible for leading and coordinating the organization's procurement and sourcing activities to ensure the timely, cost-effective, and compliant acquisition of goods, services, medical supplies, equipment, and capital assets. The position focuses on strategic sourcing, vendor management, contract administration, procurement analytics, and operational support while ensuring compliance with organizational policies and applicable federal, state, and grant requirements.

Essential Duties and Responsibilities


Strategic Procurement

Develop and implement procurement strategies that support organizational goals.

Identify opportunities for cost savings through strategic sourcing and competitive bidding.

Analyze purchasing trends and recommend process improvements.

Standardize purchasing practices across departments


Vendor Management 

Identify, evaluate, and qualify vendors.

Conduct vendor performance reviews.

Negotiate pricing, service agreements, and purchasing terms.

Maintain strong vendor relationships while ensuring accountability.
 

Contract Administration 

Coordinate procurement-related contracts.

Monitor contract renewals and expiration dates.

Ensure compliance with purchasing agreements.

Collaborate with Legal and Finance on procurement documentation.
 

Purchasing Operations 

Review departmental purchase requests.

Ensure purchases comply with approved budgets.

Coordinate procurement of medical equipment, office equipment, technology, and operational supplies

Support emergency purchasing requirements when necessary.
 

Inventory and Asset Management
Review inventory utilization and recommend purchasing levels.
Coordinate procurement of capital equipment.
Assist departments with replacement planning.
Support fixed asset documentation.
 

Systems and Reporting
Utilize Sage Intacct and other procurement systems.
Develop procurement reports and dashboards.
Monitor purchasing metrics.
Maintain procurement records.
 

Compliance
Ensure procurement activities comply with organizational purchasing policies.
Support compliance with HRSA, Uniform Guidance (2 CFR Part 200), grant procurement requirements, and internal controls.
Maintain appropriate procurement documentation for audits.
 

Qualifications
Bachelor's degree in Business Administration, Supply Chain Management, Finance, Healthcare Administration, or related field.
Minimum of 3–5 years of procurement or supply chain experience, preferably in healthcare.
Experience with ERP systems (Sage Intacct preferred).
Strong negotiation and analytical skills.
Knowledge of healthcare purchasing and medical equipment sourcing.
Proficiency with Microsoft Excel and reporting tools.
Excellent communication and organizational skills.
 

Preferred Qualifications
Certified Professional in Supply Management (CPSM), Certified Purchasing Professional (CPP), or similar credential.
Experience in Federally Qualified Health Centers (FQHCs) or nonprofit healthcare organizations.
Knowledge of federal grant procurement requirements and healthcare regulatory compliance.
