About the Opportunity
Becker & Company, a national private investigative company, is seeking a committed, detail-oriented, and proactive Intake Coordinator to support investigations involving workers’ compensation, suspected fraud, liability, and other insurance claims.
As an important first point of contact, you will receive and review incoming assignments, maintain accurate information in our operations system, communicate with clients, and coordinate workflow across departments. Your attention to detail and follow-through will help ensure each investigation begins with complete information and clear instructions.
What you will do:
Assignment intake and processing
- Receive and review electronic assignments and supporting documents submitted by clients.
- Accurately enter new assignments and update existing records in the company’s operations system.
- Verify essential information, including claimant names, claim numbers, client contact information, requested services, due dates, and special instructions.
- Identify missing, inconsistent, or unclear information and follow up with clients by phone or email.
- Review existing records to identify potential duplicate or related assignments and follow established verification procedures.
- Document client requirements, communications, and assignment updates so the appropriate departments have the information needed to proceed.
- Prioritize assignments according to client deadlines, urgency, and company procedures.
- Coordinate assignment handoffs and escalate questions or issues that require management direction.
Client communication and reception
- Answer incoming calls and emails professionally and courteously.
- Assist callers with routine questions and direct inquiries to the appropriate employee or department.
- Record and route messages accurately, including requests that require timely follow-up.
- Maintain professional relationships with clients and internal team members.
Administrative and department support
- Maintain organized, accurate, and current database records and electronic files.
- Provide administrative support and assist with other assigned department tasks.
- Support lead development by researching and organizing prospective client information from company-provided sources.
What you will bring:
- High school diploma or equivalent.
- Experience in administrative support, data entry, customer service, intake, or a related role.
- Strong attention to detail and the ability to compare information across emails, documents, and database records.
- Sound judgment, critical thinking, and a willingness to ask questions when information is incomplete, inconsistent, or unclear.
- Clear written communication and a professional telephone manner.
- Strong organizational skills and the ability to manage competing priorities and follow-up tasks.
- Working knowledge of Microsoft Outlook, Word, and Excel, with the ability to learn company software.
- Ability to work independently, collaborate across departments, and protect confidential client and claim information.
Preferred Qualifications
- Experience with insurance claims, investigative services, legal administration, or a similar environment.
- Familiarity with workers’ compensation, liability claims, or insurance terminology.
- Experience using case management systems or maintaining client databases.
