Job Summary
The People Operations Specialist is responsible for delivering accurate, timely, and employee-focused HR operations and office administration support for the Korea organization. Reporting to the HR Business Partner APAC, this role independently coordinates employee lifecycle administration, HR systems and employee data, HR reporting, personnel documentation, recruitment administration, attendance, overtime and leave management, probationary reviews, compliance training, and workplace health and safety activities. The successful candidate will bring at least five years of relevant experience, strong operational judgment, attention to detail, and a proactive approach to process ownership and continuous improvement.
Objectives & Responsibilities
- Manage end-to-end onboarding administration, including pre-employment document collection, employee file creation, induction scheduling, HR system setup, stakeholder coordination, and new-hire follow-up.
- Manage offboarding administration, including resignation and separation documentation, exit checklists, HR system updates, asset-return tracking, final information coordination, and records retention.
- Own probationary review administration by maintaining review schedules, issuing timely reminders, coordinating new-hire check-ins, collecting completed evaluations, and maintaining accurate records.
- Maintain complete and accurate employee data in HR systems, process approved employee changes promptly, conduct regular data-quality checks, and resolve discrepancies with relevant stakeholders.
- Prepare recurring and ad hoc HR reports, employee lists, organization charts, dashboards, and management information while safeguarding data confidentiality and integrity.
- Manage HR documentation and filing, including personnel files, contracts and letters, templates, trackers, checklists, standard operating procedures, and document-retention requirements.
- Coordinate recruitment administration, including job posting, candidate and agency communication, interview scheduling, recruitment documentation, and applicant-tracking updates.
- Administer attendance, overtime, and leave processes; validate records, monitor missing or inconsistent entries, and coordinate timely corrections with employees, managers, HR, and payroll stakeholders.
- Coordinate mandatory and compliance training, including scheduling, participant communications, vendor liaison, attendance tracking, completion records, and follow-up on overdue requirements.
- Coordinate office administration and workplace support, including office supplies, vendors, couriers, visitor and travel logistics, facilities requests, employee events, and day-to-day workplace services.
- Support office health and safety activities, including required training, inspections, recordkeeping, employee communications, and follow-up actions in coordination with internal and external stakeholders.
- Serve as the first point of contact for routine HR operations enquiries and provide professional guidance on processes, forms, systems, and documentation requirements, escalating policy interpretation, sensitive matters, and higher-risk cases appropriately.
- Identify process gaps and implement practical improvements to workflows, trackers, templates, service standards, and operating procedures to strengthen efficiency, accuracy, and employee experience.
- Bachelor's degree in Human Resources, Business Administration, or a related discipline, or equivalent relevant experience.
- Minimum five years of hands-on experience in People Operations, HR Operations, HR Administration, or a comparable role, preferably within a multinational or fast-paced environment.
- Demonstrated experience managing onboarding, offboarding, probationary reviews, employee records, HR systems, attendance, overtime, leave, and recruitment coordination.
- Strong HRIS and employee-data management capability, with experience maintaining accurate records, preparing reports, conducting data checks, and resolving discrepancies.
- Advanced proficiency in Microsoft Excel and strong working knowledge of Word, Outlook, and PowerPoint.
- Fluent Korean and business-level English, with clear written and verbal communication skills for a regional, cross-cultural environment.
- Strong organizational and prioritization skills, with the ability to manage multiple recurring processes and deadlines independently.
- High standards of confidentiality, accuracy, ownership, responsiveness, customer service, and professional judgment, including appropriate escalation of sensitive or compliance-related matters.
Preferred Qualifications
- Experience working in a multinational company, regional HR team, technology business, or manufacturing environment.
- Familiarity with Korean employment administration, mandatory training requirements, and local workplace practices.
- Experience supporting payroll inputs or coordinating with an external payroll provider.
- Experience coordinating office vendors, employee events, facilities, compliance training, or workplace health and safety activities.
- Experience contributing to HR system implementation, process improvement, data cleanup, or reporting enhancement initiatives.
