Job Summary

The Program Coordinator, Workforce Engagement is responsible for coordinating and supporting workforce engagement programs that enhance employee experience, engagement, and retention for our clients. Acting as an owner's representative, this role plans and executes on-site events and activities, coordinates with vendors, manages prize and reward programs, develops promotional communications, and tracks participation metrics to evaluate program effectiveness.


This position requires exceptional organizational and people skills, strong attention to detail, and the ability to manage multiple projects and stakeholders simultaneously in a dynamic environment. The role also requires travel to support program activities, which may include overnight stays, as well as occasional evening and weekend work based on program and event needs.


Job Duties and Responsibilities

  • Plan, coordinate, and execute workforce engagement events, including employee appreciation activities, social events, and retention-focused programming.
  • Manage all event planning from concept through completion, including scheduling, venue coordination, registration, setup, vendor oversight, stakeholder communication, and event-day operations.
  • Serve as the primary point of contact for participants, vendors, and campus stakeholders while ensuring events are delivered professionally, safely, and in compliance with client requirements and company policies.
  • Identify, evaluate, coordinate, and manage third-party vendors and service providers supporting engagement activities while fostering strong, collaborative relationships with vendors and event partners to ensure successful event execution.
  • Coordinate the procurement, inventory management, distribution, tracking, and documentation of event prizes and promotional items, maintaining accurate ledgers and chain-of-custody records to ensure transparency, accountability, compliance with program requirements, and audit readiness.
  • Develop, coordinate, and distribute promotional materials for workforce engagement initiatives.
  • Prepare reports and summaries on participation rates, event outcomes, and engagement trends.
  • Performs other related duties as assigned.
Requirements

Minimum Job Qualifications

  • Experience coordinating multiple events or projects simultaneously. 
  • Strong organizational, planning, and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook

Preferred Qualifications

  • Associate’s degree in business administration, Communications, Hospitality Management, Event Management, Human Resources, Marketing, or related field: or equivalent combination of education and experience. 
  • 2+ years of experience in event coordination, program administration, employee engagement, hospitality, marketing, community outreach, or related experience.
