SUMMARY OF FUNCTION: Leasing Agent serves as the first point of contact for prospective and current residents in supporting the day-to-day operations of the property. In this role, you will perform day-to-day administrative duties and activities related to apartment rentals, move-ins, recertifications and inspections of the property; while learning the fundamentals of HUD, LIHTC, and other affordable housing programs.
Essential Functions
Leasing & Property Operation
- Serve as the first point of contact for prospective residents, visitors, and current residents.
- Answer telephone calls, emails, and walk-in inquiries professionally and courteously.
- Conduct apartment and community tours for prospective residents.
- Explain community amenities, rental qualifications, leasing procedures, and general affordable housing eligibility requirements.
- Assist prospective residents with completing rental applications and required documentation.
- Process rental applications and forward completed files to the Property Manager or Occupancy Specialist for review.
- Prepare lease documents, move-in packets, and resident correspondence.
- Coordinate move-in appointments and welcome new residents.
- Follow up with prospective applicants to maintain leasing activity and occupancy goals.
- Assist the Property Manager in all aspects of the daily activities of the property.
- Support the Property Manager with daily office operations.
- Coordinate with the maintenance team regarding apartment readiness for move-ins.
- Assist in conducting move-in and move-out inspections as directed.
- Obtain required documents from applicants and residents for certification or recertification files.
- Assist with assembling resident files for review by the Occupancy Specialist or Property Manager.
- Ensure resident files are organized and complete.
- Learn and follow company policies regarding HUD, LIHTC, and other affordable housing programs.
- Attend required training to develop knowledge of affordable housing regulations.
Administrative Team Support
- Maintain organized resident and applicant files, both electronic and paper.
- Enter applicant and resident information accurately into Yardi.
- Receive, log, and distribute incoming mail and deliveries.
- Assist with data entry, filing, scanning, copying, and document management.
- Prepare notices, letters, and routine correspondence as directed.
- Process rental payments and issue receipts in accordance with company procedures when assigned.
- Assist with preparing monthly occupancy and leasing reports.
- Work collaboratively with the Property Manager, Occupancy Specialist, Maintenance team, and Corporate Office.
- Maintain confidentiality of resident and applicant information.
- Perform other duties as assigned.
Knowledge, Skills & Certification Requirements
- High School diploma or GED or Associate's degree preferred
- Excellent customer service and interpersonal skills; (previous customer service, administrative, retail, hospitality, reception, or sales experience preferred.)
- Excellent organizational skills and attention to detail
- Outstanding verbal and written communication skills
- Ability to maintain confidentiality and handle sensitive information professionally.
- Experience with computer proficiency including Microsoft Word, Excel, Outlook
- Ability to learn Yardi software
- Willingness to learn Property Management, affordable housing regulations and tax credit programs.
- Ability to handle stress and respond quickly and effectively to emergency situations.
- Ability to prioritize assignments and meet deadlines.
- Skill in exercising a high degree of initiative, judgment, discretion, and decision making.
- Ability to multitask in a fast-paced office environment.
- Ability to work effectively with diverse individuals at all levels.
