Position Summary

The HR Generalist supports the Human Resources function by providing administrative and operational assistance across a variety of HR disciplines. This role is responsible for maintaining employee personnel files, supporting compliance and audit activities, responding to employee inquiries, and assisting with day-to-day HR processes. The ideal candidate is highly organized, detail-oriented, customer-focused, and interested in building a career in Human Resources.


Essential Duties and Responsibilities

Employee Records Administration

  • Maintain accurate and up-to-date employee personnel files in accordance with organization policies and legal requirements.
  • Organize, scan, upload, and electronically file employee documentation.
  • Conduct regular audits of personnel records to ensure completeness and accuracy.
  • Process employee status changes, including promotions, transfers, compensation changes, and terminations. (only until we go fully electronic)
  • Ensure confidentiality and security of employee information.

Compliance and Audit Support

  • Assist with internal and external HR compliance audits.
  • Review employee files to verify required documentation is current and complete.
  • Monitor compliance requirements related to I-9 forms, policy acknowledgments, certifications, licenses, and other employment-related documentation.
  • Prepare reports and documentation requested during audits and compliance reviews.
  • Support implementation and maintenance of HR policies and procedures.

HR Mailbox and Employee Support

  • Monitor and manage the HR department email inbox.
  • Triage employee and manager inquiries, responding directly when appropriate or routing requests to the appropriate HR team member.
  • Provide timely, professional customer service to employees regarding HR policies, benefits, payroll, leave administration, and employment-related questions.
  • Track and document inquiry trends and recurring employee concerns.

HR Operations Support

  • Assist with onboarding and new hire orientation activities.
  • Support employee recognition, engagement, and communication initiatives.
  • Assist with benefits enrollment activities and open enrollment administration.
  • Update HR systems and databases with employee information changes.
  • Generate routine HR reports and metrics as requested.

Recruitment and Staffing Support

  • Assist with job postings and applicant tracking activities.
  • Coordinate interviews and candidate communications.
  • Support pre-employment screening and onboarding processes.
  • Maintain recruitment records and documentation.

Additional Responsibilities

  • Support special HR projects and initiatives.
  • Assist with training coordination and recordkeeping.
  • Participate in process improvement efforts to enhance HR service delivery.
  • Perform other duties as assigned.
Requirements

Bachelor's degree in human resources, Business Administration, Organizational Leadership, or a related field preferred.

Equivalent combination of education and experience may be considered.


Experience

  • 1-3 years of administrative, HR, customer service, or related experience preferred.
  • Experience working with confidential information required.
  • Prior experience with HRIS systems and electronic document management is a plus.

  • Basic knowledge of employment laws, HR practices, and compliance requirements preferred.
  • Ability to work independently and collaboratively in a team environment
