Elite DNA Behavioral Health is seeking a full-time Onboarding Assistant to join our growing onboarding team.

Position Overview

The Onboarding Assistant plays an important supporting role in delivering a seamless, organized, and white-glove onboarding experience for our targeted clinicians and new hires.

This position works closely with the onboarding and HR teams to coordinate pre-employment requirements, assist candidates throughout the screening and onboarding process, and ensure each new hire is prepared for a successful start with Elite DNA.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple candidates and onboarding requirements simultaneously. This position requires strong follow-through, clear communication, and the ability to maintain accuracy in a fast-paced, high-volume environment.

Key Responsibilities

Clinician Onboarding & White-Glove Experience

  • Provide a high-touch, white-glove onboarding experience to targeted clinicians throughout the onboarding process.
  • Serve as a supportive point of contact for candidates, ensuring they understand each step of the onboarding process and feel informed and prepared.
  • Assist candidates with onboarding requirements, timelines, documentation, and next steps.
  • Monitor candidate progress and proactively follow up on outstanding requirements.
  • Maintain a professional, welcoming, and responsive experience from offer acceptance through start date.

Candidate Screening & Pre-Employment Requirements

  • Assist with the screening process for incoming candidates and new hires.
  • Coordinate and track pre-employment requirements, including background checks, drug screenings, employment documentation, and other required screenings.
  • Ensure onboarding tasks and documentation are completed accurately and within established timelines.
  • Follow up with candidates and internal teams regarding incomplete or outstanding requirements.
  • Maintain accurate onboarding records and status updates within company systems.

Registered Intern Application Processing

  • Assist with the processing and submission of registered intern applications from A–Z for applicable candidates.
  • Collect and review required documentation for completeness and accuracy.
  • Coordinate with candidates to obtain missing or corrected information.
  • Prepare and submit application materials in accordance with applicable requirements and established internal processes.
  • Track application status and follow up on outstanding items through completion.
  • Maintain organized records of submissions, documentation, and application progress.
  • Escalate questions, discrepancies, or issues to the appropriate HR or onboarding team member.

Start Date Coordination

  • Once onboarding and required application processes are complete, assist with coordinating and selecting a designated start date for each individual.
  • Communicate confirmed start dates to candidates and appropriate internal departments.
  • Coordinate with hiring managers and internal teams to ensure the employee is fully prepared for their scheduled start date.
  • Help identify and communicate any outstanding items that could impact a candidate’s start date.

Onboarding Coordination & Administrative Support

  • Assist the onboarding team with maintaining onboarding workflows, checklists, and tracking systems.
  • Update and maintain onboarding information in Paylocity, Monday.com, and other internal systems.
  • Assist with offer letters, onboarding communications, and new hire instructions as needed.
  • Support coordination with IT to ensure appropriate system access, email accounts, equipment, and other resources are prepared.
  • Assist with organizing and preparing materials for new hire orientation.
  • Follow established onboarding procedures and workflows consistently.
  • Escalate delays, compliance concerns, or other issues that may impact the onboarding process.

 Schedule: Monday–Friday, 9:00 AM–5:00 PM

 Employment Type: Full-Time, Hourly 

Pay Range: $20.00–$23.00 per hour 

Work Arrangement: Hybrid 

Location: Fort Myers, FL 

Requirements

 

Qualifications

  • 1+ year of experience in HR, onboarding, recruiting, administrative support, healthcare administration, or a related field preferred.
  • Healthcare, behavioral health, or compliance-related experience is a plus.
  • Strong attention to detail and ability to maintain accuracy when managing multiple processes simultaneously.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to provide a professional, responsive, and customer-service-oriented experience to candidates and clinicians.
  • Ability to manage confidential and sensitive information with discretion.
  • Comfortable working in a fast-paced, high-volume environment.
  • Ability to follow detailed processes and consistently meet deadlines.
  • Proficiency with Microsoft Office and general computer systems.
  • Experience with Paylocity, Monday.com, or similar HRIS/workflow systems is preferred.
  • Must be comfortable communicating with candidates, clinicians, hiring managers, and internal departments.
Salary Description
$20-23/hour
