Position Summary
The Transport Dispatcher coordinates emergency and non-emergency behavioral health transportation requests, serving as a central communication link between healthcare facilities, field crews, and operations leadership. This role assigns appropriate transport resources, monitors unit status and trip progress, maintains accurate records, and promotes safe, timely, compassionate patient transportation.
Essential Duties and Responsibilities
· Receive, assess, prioritize, and document incoming transportation requests in accordance with established protocols.
· Assign available crews and transport units based on location, capacity, urgency, patient needs, and authorized service capabilities.
· Monitor unit status, response times, transportation progress, and changes in resource availability using dispatch, GPS, telephone, and radio systems.
· Communicate clear, timely instructions and updates to field crews, healthcare facilities, and operations leadership.
· Respond to changing priorities, delays, safety concerns, and urgent situations; escalate clinical or operational issues to the appropriate personnel.
· Maintain complete, accurate, and timely dispatch logs, trip details, call records, and other required documentation.
· Protect patient information and follow HIPAA, confidentiality, and information security requirements.
· Follow company dispatch procedures, safety protocols, and applicable EMS transportation requirements.
· Provide professional customer service and demonstrate empathy, patience, and respect for patients and healthcare partners.
· Coordinate shift handoffs and relay unresolved transportation requests and relevant operational information.
· Report equipment or communication system failures promptly and follow established downtime procedures.
· Perform related duties and participate in required training, meetings, and quality improvement activities.
· Knowledge of patient privacy practices and behavioral health transportation workflows.

Work Environment and Physical Demands
Work is primarily performed in a communications center and may involve prolonged sitting, computer and telephone use, repetitive keyboarding, multiple screens, and sustained concentration. Work schedules may include nights, weekends, holidays, and overtime based on business needs. Essential duties must be performed with or without reasonable accommodation.

Required Qualifications
· High school diploma or GED.· Strong verbal and written communication, active listening, and data-entry skills.
· Ability to remain calm, organized, and accurate in a fast-paced, time-sensitive environment.
· Ability to manage simultaneous calls, changing priorities, and multiple communication channels.
· Basic proficiency with computers, telephones, and electronic records systems.
· Ability to follow procedures, use sound judgment, and maintain confidentiality.
Preferred Qualifications
· Previous dispatch, EMS, ambulance, healthcare transportation, public safety, or behavioral health experience
· Familiarity with CAD software, GPS systems, radio communications, and medical terminology
