Key Responsibilities Include:
- Develop and execute strategic plans for the company's fleet management software, aligning with customer and company goals and industry best practices.
- Develop reporting dashboards that meet customer and management needs.
- Facilitate the onboarding of fleet customers through training, ongoing support, and regular check-ins.
- Grow our fleet financing portfolio.
- Manage financial performance of fleet financing programs, including budgeting, cost control, and profitability analysis.

Skills and Qualifications Include:
- Bachelor's degree in Business Administration, Logistics, Transportation, or a related field
- 8+ years of proven experience in fleet management, logistics, or transportation leadership, with a track record of strategic planning and operational excellence, including at least 3 years in a leadership role.

PURPOSE OF JOB:
The Vice President of Fleet Management oversees the strategic direction, daily readiness, and financial performance of the company’s fleet financing programs and designated fleet management software. This leadership role coordinates with other departments on fleet vehicle life cycles—from acquisition and maintenance to disposal. The position collaborates with leadership to optimize efficiency, lower operating costs, and implement innovative fleet technologies for our customers utilizing our related products and services.
JOB DUTIES:
Core Fleet Management Functions
- Maintain subject matter expert knowledge of the company’s designated fleet management software and continually leverage system capabilities to deepen customer relationships.
- Create, develop, and continually improve reporting capabilities and dashboards that meet customer and management needs.
- Perform regular trend analysis to identify issues, recommend solutions, and implement approved activities that effectively improve outcomes.
- Facilitate the onboarding, training, and support ongoing account management functions for customers utilizing our services.
- Develop effective vendor relationships to support customers’ needs for fuel, maintenance, accident repair, and related areas.
- Drive process excellence and best practices to ensure a consistent approach that delivers on customer objectives as well as internal organizational objectives.
- Create and update formal documented departmental policies and procedures (P&P’s) following organizational guidelines.
- Direct the overall fleet functions to maximize asset utilization, minimize vehicle downtime, and support company-wide logistics goals.
- Develop and manage the annual operational and capital budgets, analyze expenses, evaluate performance metrics, and control spending.
- Oversee the purchasing, leasing, specification development, and disposal of all fleet vehicles and equipment.
- Direct preventive and predictive maintenance programs, coordinate repair schedules, and manage vendor relationships.
- Ensure adherence and compliance to Department of Transportation (DOT), Occupational Safety and Health Administration (OSHA), and environmental regulations, as well as maintaining precise inspection records.
- Implement and optimize software and telematics to track fleet performance, fuel economy, route optimization, etc.
Fleet Sales Growth
- Grow our fleet financing portfolio, as identified in each year’s budget.
- Cultivate relationships with Tri-State area businesses maintaining fleets greater than 25 vehicles.
- Perform effective Credit Analysis activities as needed for potential transactions – accessing financial statements, bureaus and other credit information to develop a summary of credit risk.
- Coordinate with the VP of Business Development and our Corporate Account Executives (CAE’s) on the Sales team to cross-sell opportunities.
Customer Relationship Management (CRM)
- Use a company-approved Sales/CRM System to track all customer contacts and communications.
- Closely monitor and report on competitor activities, marketplace dynamics, and other issues that could impact the company.
- Coordinate and ensure the follow-up on all Active and Dormant customers as defined in the Customer Relationship Management Policy.
- Manage Relationship Managers’ (RM‘s) work within the CRM, including Active and Dormant follow-up.
- Work with CAE’s and RM’s to develop and implement digital campaigns (e-blasts, promotions, etc.).
- Conduct Quarterly Review meetings with key customers as identified in Business Plans. Manage and follow-up per the CRM Policy & Procedure (P&P).
Administrative
- Ensure compliance to all company Policies & Procedures (P&Ps).
- Identify areas of improvement for the Fleet team and implement changes. Encourage staff participation on Working Teams or Corrective Action Teams.
- Work with Director of Marketing to plan yearly marketing strategies and oversee implementation of the plan. Meet regularly to prepare materials for digital campaigns, trade shows and customer visits.
General
- Ensure prompt and regular attendance.
- Perform other appropriate duties as may be assigned by Management.
- Travel, as business needs require, to meet with new and existing key customers and relationships, attend conferences and training, etc.

Education:
- Bachelor’s degree is minimally required.
- Professional certifications from recognized associations, such as a Certified Automotive Fleet Manager through NAFA (Fleet Management Association) are preferred.
Experience:
- 8+ years of progressive experience in fleet management, logistics, or transportation operations, including at least 3 years in a leadership role.
