WORK SCHEDULE: Monday-Friday, some nights and weekends required
SALARY & BENEFITS: $26.78 per hour; benefits eligible after 90 days
Position Overview
The Marketing and Communications Coordinator keeps Berkeley Rep’s marketing department organized and on schedule, connecting the people, vendors, and deadlines behind every production’s campaign. The Marketing and Communications Coordinator reports to the Associate Director of Marketing and manages departmental administration, including invoices, budget tracking, meetings, and shared inboxes. The position traffics ad materials to media vendors and partners, writes copy for media partners, and supports the printed show programs by gathering bios, headshots, credits, and scheduling Positioning and Editorial meetings.
The Marketing and Communications Coordinator also provides hands-on support for show campaigns, partnerships, and audience surveys and coordinates Berkeley Rep’s social media presence. On content, brand voice, and tone, the Marketing and Communications Coordinator works closely with, and under the guidance of, the Director of Marketing and Audience Services. This position also works closely with the Communications Manager, who provides editorial guidance and proofing, and with the annual Marketing Fellow, who contributes to social media and campaign support.

We are looking for a highly organized, dependable, and curious early-career marketer who loves theatre. You can track a dozen deadlines without dropping one, and you follow up until every item is in. You keep a department’s details in order so your colleagues can focus on the big picture. You write clearly, you’re fluent in social media, and you can put personality into a caption. You’re comfortable working with designers, videographers, vendors, and colleagues across the organization. You want a hands-on role where you’ll learn how every part of a major regional theatre’s marketing comes together.
Essential Duties and Responsibilities
Departmental Administration
- Process vendor invoices, ensuring timely payment, and record entries in the departmental budget tracking sheet.
- Schedule and attend department meetings, take detailed notes, and distribute notes and action items promptly.
- Check shared departmental inboxes in Outlook and Gmail daily, and make sure actionable messages are answered or forwarded to the right person.
- Traffic ad materials to media vendors and partners, tracking specs and deadlines, and write copy for media partners as needed.
Printed Program Support
- Solicit bios and headshots from each show’s cast, creative team, and staff, following up until every submission is in.
- Collect show credits from Production departments.
- Schedule Positioning and Editorial meetings with internal departments and external creative teams and distribute notes and action items promptly.
- Hand off collected materials to the Communications Manager, who manages program production, writing, and proofing.
- Assist the Communications Manager with proofing and gathering approvals as needed.
Campaign and Show Support
- Work with the Director of Marketing and Audience Services and the Community Engagement and Partnerships Manager to identify, solicit, and contract social media influencers and outside partners for each show.
- Create an external media kit for each show with the Marketing Fellow, and solicit cross-promotions from local theatre, arts, cultural, and affinity organizations.
- Work with the Communications Manager to create pre- and post-show emails for each show. This includes building the post-show survey in SurveyMonkey and distributing survey dashboards to relevant stakeholders.
- Manage in-person distribution of flyers, posters, and collateral as needed, including participation in the TBA Postcard Distribution Network.
Social Media Coordination
- Coordinate Berkeley Rep’s social media channels (currently Meta [Facebook, Instagram, and Threads], TikTok, and LinkedIn) in collaboration with the annual Marketing Fellow, under the guidance of the Director of Marketing and Audience Services on content, brand voice, and tone.
- Maintain the social media calendar in Asana, aligned with production schedules, campaigns, and department priorities.
- Request, brief, track, and review content assets from the Creative team, and create some video and graphic content with Creative’s guidance.
- Develop social copy with the Communications Manager.
- Get approval from the Director of Marketing and Audience Services or a designee before posting to Berkeley Rep’s main channels, then schedule and post approved content.
- Reply to comments and messages and monitor channels for questions and feedback. Escalate sensitive, negative, or time-critical issues rather than responding on Berkeley Rep’s behalf.
- Report on social media performance using each platform’s native analytics and Hootsuite, identifying what resonates with audiences.
Other Responsibilities
- Actively participate in workshops and training, including harassment prevention, bystander intervention, and antiracism, equity, diversity, inclusion, and access initiatives.
- Demonstrate a high degree of coachability and ability to integrate feedback into daily workflows and processes.
- Perform all other duties as assigned.
Required
- 1–3 years of experience in marketing, communications, administration, or social media, preferably in the arts or entertainment.
- Exceptional organizational and follow-through skills, with the ability to manage calendars, deadlines, and many concurrent projects.
- Strong writing and proofreading skills, with the ability to write engaging copy in a consistent brand voice.
- Working knowledge of Meta (Facebook, Instagram, and Threads), TikTok, and LinkedIn, including platform best practices and audience engagement.
- Ability to read social media analytics and report on what is and isn’t working.
- Strong written and verbal communication skills, with high emotional intelligence and cultural competency.
- Proficiency in Microsoft Office Suite.
- An appreciation for the arts.
- Commitment to antiracism, equity, diversity, inclusion, and access.
Preferred
- Experience with Asana or a similar project management tool.
- Experience with invoicing, budget tracking, or vendor coordination.
- Experience with Hootsuite or a similar social media scheduling and reporting tool.
- Experience working with designers, videographers, or other creative partners.
- Basic photo and video editing skills.
- Experience in performing arts, cultural institutions, or nonprofit marketing.
