Description

  

The Director of Facilities provides strategic and operational leadership for Lollypop Farm's facilities team, ensuring the organization's buildings, grounds, and equipment are safe, well-maintained, and aligned with our animal welfare mission. The Director works closely with leadership across all departments to maintain a safe, welcoming, and functional environment for staff, volunteers, visitors, clients, and animals.


Essential Duties:


Leadership

  • Leads, mentors, and develops the facilities team of staff and volunteers, fostering a culture of accountability and shared purpose.
  • Builds and manages the annual facilities and capital budget, driving cost-effectiveness and financial accountability.
  • Partners with teams across the organization to align facility operations with the animal welfare mission, ensuring buildings, grounds, and equipment support the needs of staff, volunteers, visitors, clients, and animals.
  • Cultivates relationships with vendors, contractors, and professional networks to strengthen facility operations and stay ahead of industry standards.
  • Stays current on trends in facilities management, safety, and sustainability, bringing fresh ideas and industry insight into leadership conversations.
  • Collaborates with leadership to align facility improvements with the organization's long-term goals, supporting external project teams in the planning, logistics, and execution of improvement projects.
  • Leads through change and challenge with clear communication, empathy, and resilience.

Strategic Project Management

  • Maintains the capital renewal plan, identifying major facility repair and capital needs to guide long-term financial investment.
  • Maintains and updates the campus and buildings master plan, keeping building drawings, schematics, and reference documentation current and organized.
  • Oversees the Maintenance and Grounds Manager's execution of preventive maintenance and repairs across shelter and farm buildings, animal enclosures, HVAC, plumbing, electrical systems, and fleet.
  • Ensures compliance with local, state, and federal regulations, including NYS Shelter Licensing (Agriculture and Markets Law Article 26-C), OSHA requirements, and health codes.
  • Drives organization-wide safety compliance efforts, including preventative measures, education, and mitigation strategies.
  • Collaborates on security planning, ensuring facility systems support operational needs.
  • Develops and implements emergency preparedness plans to maintain utilities that affect staff and volunteers and support ongoing animal care.

Operations and Maintenance

  • Develops facilities and grounds standards that ensure a clean, high-quality presence for staff, volunteers, and visitors.
  • Oversees the maintenance ticketing system, prioritizing and tracking work orders to completion.
  • Maintains vendor relationships and negotiates contracts and renewals with service providers, including maintenance, custodial, and security vendors.
  • Reviews and approves purchases and vendor contracts on a case-by-case basis in partnership with the Maintenance & Grounds Manager; oversees the department's overall procurement and inventory strategy.

Administrative

  • Develops and maintains department SOPs and systems, ensuring smooth operations, accurate data management, and reporting.
  • Reports metrics on facility and department performance.
  • Upholds all company policies and applicable laws; performs other duties as needed.
Requirements

  

Education & Experience: Bachelor's degree in Facilities Management, Construction Management, or a related field. 4+ years of leadership experience, 5+ years of progressive experience in facilities/property management, building maintenance, or a related field. Proven experience managing budgets, capital projects, and vendors. Strong knowledge of building systems, safety codes, regulatory compliance, and grounds and fleet management. Experience in a non-profit or animal welfare setting preferred. Professional certifications in facility management (e.g., IFMA, BOMA) preferred. A combination of education and experience will be considered if aligned with the position.

Skills: Demonstrated strategic thinking and project management skills. Excellent problem-solving abilities and attention to detail. Proven ability to work cross-functionally across multiple departments, prioritizing and coordinating needs. Strong communication and interpersonal skills. Knowledge of animal welfare standards and related facility requirements is a plus.

Physical Demands: While performing the duties of this job, the employee is frequently required to remain in a stationary position during shift, move throughout the building and move weight up to 50 pounds. Frequently required to communicate with others. Occasionally required to move excessive weight. This position requires car travel and performing duties in multiple locations.
