Clinical Partnerships Coordinator

The Clinical Partnerships Coordinator provides comprehensive administrative, organizational, and operational support to the Associate Vice President of Clinical Partnerships and Community Affairs at the International College of Health Sciences (ICHS).


This position supports the coordination and execution of community engagement activities, institutional outreach initiatives, external partnerships, public-facing events, and other projects designed to strengthen ICHS’s relationships with students, alumni, healthcare organizations, community partners, governmental and civic organizations, and the communities served by the College.


The Clinical Partnerships Coordinator serves as a key administrative resource to the AVP, helping ensure that priorities, projects, communications, meetings, events, and community initiatives are organized and executed effectively. The position requires professionalism, discretion, strong communication skills, attention to detail, and the ability to manage multiple priorities within a dynamic higher education environment.


Essential Duties and Responsibilities

Administrative and Executive Support


  • Provide day-to-day administrative support to the Associate Vice President of Clinical Partnerships and Community Affairs.
  • Manage and coordinate the AVP’s calendar, appointments, meetings, events, conference calls, and other scheduled activities as assigned.
  • Assist with preparing meeting agendas, briefing materials, presentations, reports, correspondence, and supporting documentation.
  • Maintain organized electronic and physical records for Community Affairs initiatives, partnerships, meetings, events, and projects.
  • Track deadlines, assignments, commitments, and follow-up items arising from meetings and Community Affairs activities.
  • Assist the AVP with prioritizing administrative tasks and coordinating competing deadlines.
  • Prepare professional correspondence and communications on behalf of or at the direction of the AVP.
  • Coordinate travel arrangements, itineraries, registrations, and related documentation when required.
  • Process or assist with departmental purchase requests, invoices, expense documentation, vendor communications, and other administrative transactions in accordance with College procedures.


Community Engagement and Outreach


  • Support the planning, coordination, and implementation of community outreach and engagement initiatives.
  • Assist with maintaining relationships and communications with healthcare organizations, educational institutions, nonprofit organizations, civic organizations, governmental agencies, employers, community leaders, and other external stakeholders.
  • Maintain current databases and contact lists for community partners and institutional stakeholders.
  • Assist in coordinating meetings between ICHS leadership and external community partners.
  • Support outreach related to community education, healthcare awareness, workforce development, student engagement, and institutional partnership initiatives.
  • Research prospective community partners, organizations, programs, events, and outreach opportunities at the direction of the AVP.
  • Assist with community partnership follow-up, including documentation of meetings, commitments, action items, and outcomes.
  • Represent ICHS professionally when communicating with external organizations and community stakeholders.


Event Coordination

  • Assist with planning and coordinating College-sponsored community events, outreach programs, open houses, informational sessions, health-related activities, partnership meetings, and other institutional events.
  • Coordinate event logistics, including facilities, schedules, invitations, registrations, supplies, technology, signage, refreshments, materials, and participant communications as assigned.
  • Maintain event calendars, participant lists, RSVPs, and event documentation.
  • Coordinate with internal departments to ensure appropriate staffing and resources for Community Affairs events.
  • Assist with on-site event preparation, implementation, and post-event activities.
  • Support collection of attendance, participant feedback, photographs, outcome data, and other documentation related to events.
  • Assist in preparing post-event summaries and reports.


Institutional and Interdepartmental Coordination

  

  • Serve as a liaison between the Office of Clinical Partnerships and Community Affairs and other College departments as directed by the AVP.
  • Coordinate with Academic Affairs, Student Services, Admissions, Marketing, Career Services, Clinical Operations, and other departments regarding community initiatives and institutional events.
  • Facilitate timely communication of Community Affairs activities and initiatives to appropriate internal stakeholders.
  • Assist with coordinating institutional participation in external conferences, community programs, career events, healthcare events, and civic activities.
  • Support collaborative initiatives involving multiple departments or external organizations.

Communications and Public Relations Support

  • Assist with drafting announcements, invitations, community correspondence, informational materials, presentations, and event communications.
  • Work collaboratively with Marketing and other appropriate departments to promote community programs, events, partnerships, and institutional activities.
  • Gather information, photographs, event details, partner information, and other materials that may support College communications and community engagement efforts.
  • Help ensure that external communications accurately reflect the College’s mission, programs, branding, and institutional standards.
  • Assist with maintaining Community Affairs content, calendars, reports, and outreach materials as assigned.

Partnership and Project Management Support

  • Maintain records of active and prospective community partnerships.
  • Track partnership activities, meetings, deliverables, renewal dates, and follow-up requirements.
  • Assist with coordinating Memoranda of Understanding, affiliation documents, partnership agreements, and related documentation in collaboration with appropriate College leadership and departments.
  • Develop and maintain project trackers for major Community Affairs initiatives.
  • Monitor project milestones and communicate upcoming deadlines or outstanding items to the AVP.
  • Assist with collecting data and documentation necessary to evaluate the effectiveness of community initiatives.

Reporting and Documentation

  • Assist with preparing periodic Community Affairs reports for College leadership.
  • Collect and organize data regarding outreach activities, partnerships, events, participation, and community impact.
  • Maintain documentation necessary to demonstrate institutional community engagement activities.
  • Assist in creating summaries, dashboards, spreadsheets, presentations, or reports reflecting departmental activities and outcomes.
  • Maintain accurate records in accordance with institutional record-retention practices.
  • Support documentation needs associated with institutional accreditation, regulatory activities, strategic planning, and institutional effectiveness when Community Affairs information is required.

Additional responsibilities

  • Attend meetings and events on behalf of or with the Associate Vice President of Clinical Partnerships Community Affairs as requested.
  • Take meeting minutes and maintain records of decisions and action items when assigned.
  • Participate in College committees, special projects, and institutional initiatives as appropriate.
  • Provide administrative assistance for special initiatives assigned to the Office of Clinical Partnerships and Community Affairs.
  • Assist with welcoming and coordinating visits from community partners and institutional guests.
  • Maintain a professional and welcoming presence when interacting with students, employees, external stakeholders, and members of the public.
  • Perform other duties consistent with the position as assigned by the Associate Vice President of Clinical Partnerships and Community Affairs or College leadership.


Requirements

  

Minimum qualifications

  • Associate degree from an accredited institution required; bachelor’s degree preferred.
  • Previous administrative, executive support, higher education, community relations, nonprofit, healthcare, public relations, or related professional experience preferred.
  • Demonstrated experience coordinating meetings, projects, events, or administrative activities.
  • Strong written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Demonstrated ability to manage multiple assignments and deadlines simultaneously.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to learn and effectively use institutional information systems and other technology platforms.
  • Demonstrated professionalism when interacting with senior leaders, community partners, students, faculty, staff, and external stakeholders.

Preferred qualifications

  • Bachelor’s degree in business administration, communications, public relations, healthcare administration, higher education administration, public administration, marketing, or a related discipline.
  • Experience working in higher education, healthcare, community relations, governmental affairs, nonprofit organizations, or a similar environment.
  • Experience supporting an executive or senior-level administrator.
  • Experience coordinating community outreach initiatives, partnerships, or special events.
  • Experience preparing professional reports, presentations, correspondence, and meeting materials.
  • Familiarity with healthcare education or workforce development initiatives.

Work environment and schedule

The position operates primarily within a professional higher education environment. The role may require participation in community events, meetings, College activities, and other functions occurring outside normal business hours, including occasional evenings or weekends.


Ability to travel as needed. This includes local and statewide travel across South Florida to visit healthcare facilities, community organizations, and institutional meetings, as well as occasional domestic travel outside of Florida for national events and conferences.
