Mabbett & Associates, Inc. (Mabbett®), an award-winning and industry-leading environmental, health and safety (EH&S) consulting and engineering firm, is seeking a full-time Contract Administrator to primarily support our growing federal, state, and local government contracting portfolio. This position plays a key role in managing the full lifecycle of contracts—from proposal development through negotiation, award, (including award challenges), administration, closeout, and potential, post-contract audit—while ensuring compliance with regulatory and contractual requirements to include the Federal Acquisition Regulations (i.e., FAR) and the Defense Federal Acquisition Regulation Supplement (DFARS). As part of a small-business federal contracting environment, this role collaborates closely with technical staff, project managers, business development, accounting, legal/compliance (when warranted), prime contractors, and subcontractors to deliver responsive, compliant, and effective contract support.


The Contract Administrator will work across a diverse range of federal, state, and municipal and private sector clients, supporting professional services contracts issued under a variety of acquisition regulations and contract types. Responsibilities include reviewing solicitations, developing compliant proposal documentation to include Teaming Agreements and Confidentiality and Non-Disclosure Agreements, negotiating terms and conditions, resolving contractual issues, and maintaining accurate documentation throughout the contract lifecycle. This position requires progressive experience, strong organizational skills, excellent communication abilities, and a proactive approach to problem solving in a fast-paced professional environment.


  • Administer federal, state, and local and select private sector contracts throughout the full lifecycle, including proposal preparation, negotiation, administration, closeout and possible post-contract audits, etc.
  • Develop and administer subcontracts, ensuring alignment with prime contract obligations.
  • Procure, track, and administer required company and professional licenses in all states where the firm conducts business, ensuring timely renewals and compliance with regulatory requirements.
  • Maintain Excel databases for contracts awarded to the firm with details regarding the type of contract, key, and/or special terms, conditions and provisions. Coordinate closely with project managers as required. 
  • Review solicitations and contract terms; ensure proposal and contract documents meet regulatory and customer requirements.
  • Ensure compliance with FAR and DFARS, agency supplements, contract requirements, and internal policies and procedures.
  • Maintain complete and accurate contract documentation, including modifications, correspondence, deliverables, and reporting requirements.
  • Lead and execute contract closeout activities, ensuring timely and accurate completion of all requirements.

  

This position is a hybrid role which may be based out of the firm’s Corporate Headquarters located in Stoneham, MA or its Mid-Atlantic Regional Office in Alexandria, VA.

Requirements
  • Bachelor’s degree in business administration, legal studies-law, contract management, or a related field.
  • 5-8 years of contract administration experience supporting federal, state, and/or local government clients; experience as a prime contractor for professional services preferred.
  • Experience with GSA Multiple Award Schedules; DoD, Defense Logistics Agency and other federal agency contracting programs, including a history of relevant relationships with government and industry contracting personnel.
  • Strong understanding of Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and familiarity with common contract types, including Time-and-Materials (T&M) and Firm-Fixed-Price (FFP).
  • Demonstrated experience in contract negotiation, risk assessment, administration/management, and applying procurement policies, procedures, and industry best practices while ensuring compliance in a small-business setting.
  • Proficiency in Microsoft Excel, Word, and Adobe applications; familiarity with Deltek VantagePoint is a plus.
  • Strong written and verbal communication, organization, attention to detail, and effective collaboration with teams, subcontractors, and clients are essential skills for this role.
Salary Description
$80,000 - $120,000/Yr.
