About the Role
The Bilingual Front Desk Receptionist/Administrative Associate serves as the first point of contact at the Raleigh branch, creating a welcoming, professional, and inclusive experience for visitors, donors, Food Bank employees, and community members. This position provides front desk coverage, responds to inquiries, assists neighbors seeking emergency food and community resources, supports walk-in donations, and performs a variety of office and administrative functions.
Through welcoming service, culturally responsive engagement, and effective administrative support, the position contributes to a positive experience for visitors, employees, donors, and community members while advancing equitable access to food and resources and supporting the goals of the Food Bank’s strategic plan.
This position is scheduled to work Monday - Friday from 8:30am - 5:00pm in our Raleigh location.
Primary Responsibilities
Front Desk and Emergency Food Assistance (60%):
- Maintain a welcoming and professional presence at the Raleigh Branch front desk, greeting visitors and responding to telephone calls and inquiries.
- Direct visitors and callers to the appropriate staff members, departments, resources, or point of contact and provide information as appropriate.
- Provide emergency food assistance and community resource information to neighbors in need in a thorough, respectful, and dignified manner, including distributing the most current emergency food resource list.
- Serve as an interpreter for visitors and staff as needed to facilitate clear communication and access to services, demonstrating cultural awareness and responsiveness when working with diverse populations.
- Manage visitor check-in procedures, maintain visitor logs, and follow established security and access protocols.
- Monitor the front desk and lobby area to ensure it remains clean, organized, welcoming, and presentable.
- Receive and process walk-in donations and direct donations to the appropriate staff or location.
Office Support (30%):
- Serve as the primary point of contact for conference room requests and reservations, ensuring rooms are appropriately scheduled and prepared.
- Assist with coordinating staff events, meetings, lunches, celebrations, and other activities as needed.
- Receive and distribute mail, deliveries, and incoming parcels to the appropriate team member in a timely manner.
- Serve as the primary point of contact for reception-area office equipment, including troubleshooting basic issues and coordinating service or repairs as needed.
- Monitor office and breakroom supplies, maintain an inventory of standard supply items, and place orders within established budget parameters.
Administrative Support (10%)
- Provide administrative support to the Manager of Executive Office & Board Relations and the People Experience Team, including assistance with onboarding, interviews, scheduling, document preparation, and other administrative activities.

Education
- High school diploma or GED required; Associate’s degree preferred.
Certification/Training
- Certification in CPR/First Aid is preferred. Training or certification in Mental Health First Aid and/or crisis intervention or de-escalation is also preferred. Preferred certifications or training may be obtained within an established timeframe following hire.
Experience
- 3+ years of experience in office management or administrative support roles.
- 3+ years of experience supporting cross-functional teams or multiple stakeholders.
- Prior experience working with diverse populations and communities facing food insecurity or health inequities preferred.
- Prior experience working in a nonprofit, mission-driven, or similarly values-based organization preferred.
Skills
- Language Skills: Must be fluent in both English and Spanish, with the ability to interpret verbal and written Spanish to effectively communicate with clients and community members.
- Technical Proficiency: Ability to effectively utilize Microsoft Office Suite applications (Word, Excel, PowerPoint, Outlook).
- Customer Orientation: Ability to provide responsive and professional customer service by addressing inquiries, maintaining clear communication, and ensuring a positive experience for all stakeholders.
- Communication & Facilitation: Proven ability to demonstrate exceptional interpersonal, verbal, and written communication skills.

While performing the duties of this position, the employee is regularly required to communicate clearly, hear, and interact effectively with others without deliberate impediment (e.g., wearing or listening to headphones). The employee frequently sits and uses hands and fingers to handle, feel, or operate objects and equipment. The employee is occasionally required to stand, walk, reach with arms and hands, climb, balance, stoop, crouch, crawl, and lift and/or move up to 50 pounds.
Specific vision abilities required include close vision.

Working Conditions
While performing the responsibilities of this position, the employee will work in a variety of settings, including an office environment, warehouse, and off-site partner or community locations. This requires frequent travel by automobile, transit van, or large truck within the Food Bank’s 34-county service area.
In warehouse and kitchen environments, the employee may occasionally be exposed to moving mechanical parts, vehicles, temperature fluctuations, and moderate noise levels. Safety toe footwear with non-skid soles is required.
