Job Description
The Office Manager is a cornerstone of the founding team at KIPP Cordova Collegiate Elementary (KCCE). As one of the school's first school-based team members, the Office Manager will help establish the administrative systems, family experience, community presence, and welcoming culture of KCCE before the school opens.
During the pre-opening phase, this position will look different from a traditional school office role. The Office Manager will work closely with the Principal and Director of School Operations to recruit and enroll students, communicate with prospective families, support community outreach, coordinate recruitment events, receive and organize school materials and shipments, communicate with vendors, prepare the front office and campus for opening, and welcome prospective families, partners, and other stakeholders for tours and visits.
Once the school opens, the Office Manager will serve as the hub of the school's front office, coordinating administrative systems and routines that include student enrollment and records, attendance, family communication, purchasing support, office organization, and customer service. The Office Manager will often be the first person families, visitors, vendors, and community members encounter and is expected to represent KCCE with warmth, professionalism, urgency, and a strong service orientation.
Essential Job Functions:
- Maintains a friendly, professional, clean, and neat office environment
- Collects, maintains, and stores all student records in accordance with School policies and procedures
- Answer phone, reply to emails, sort mail, and handle all communication flowing through the main office
- Reach out to families for a variety of reasons including student absences
- Serve as an active member of student recruitment and enrollment efforts including reaching out to potentially interested families
- Collects, maintains and reports all student/staff attendance records on a daily basis
- Assists with the ordering, inventory, and maintenance of school equipment and supplies
- Assists with the processing of invoices and credit card summaries
- Work with students directly, including occasional supervision duties, as needed
- Other duties as assigned
Minimum Qualifications:
Required:
- Education: Bachelor's degree required; or Associate's degree and 2-years of experience
- One year of administrative experience
- Excellent customer service skills, including an outwardly friendly demeanor
- Highly organized including evidence of strong follow-through skills
- Strong analytical and problem-solving skills, ability to learn quickly, and meticulous attention to detail
- Comfortable interacting with the general public and working closely with teachers, staff, administrators, and other stakeholders
- Open to feedback and flexible with new and changing situations
- Excellent organizational, time management, and communication skills (both written and verbal)
- Advanced proficiency with Microsoft Office Suite and G Suite for Education
- Experience with PowerSchool
Preferred:
- Three or more years of administrative experience

- Prolonged periods standing and actively monitoring student behavior while teaching

- Must be able to traverse classroom and adjust height, by bending or leaning, in order to teach each child
- Must be able to facilitate classroom transitions by walking through hallways and up and down stairs with students
