Accounts Payable/Accounting Associate

Description

The position reports to the Controller and is responsible for maintaining all accounts payable and other business office functions as assigned by the Controller or Chief Financial & Operations Officer (CFOO). 

  

Accounts Payable 

  • Open all Business Office mail and distribute it to the appropriate personnel.
  • Process all invoices – if necessary, obtain the appropriate approvals for payment.
  • File all vouchers, paid and unpaid, in an orderly fashion.
  • Print the check payable report and review with the Controller or the CFOO for approval.
  • Prepare signed checks for mailing/distribution.
  • Prepare end-of-year 1099 returns as directed.
  • Manage Petty Cash Fund – reconcile and reimburse the fund.
  • Cross-train on Student Billing (Accounts Receivable) to assist when necessary.
  • Assist department heads with payable questions.
  • Other duties as assigned

Accounting Associate 

  • Depositing and maintaining records for Miscellaneous Cash received by the Academy, including but not limited to Gifts/Development receipts, campus store, ice arena receipts, etc.
  • Reconcile all bank and investment accounts with the school’s general ledger.  This includes both operating and endowment funds.
  • Prepare all necessary adjusting entries for the above reconciliations; submit them to the Controller for review & approval.
  • Prepare and enter all accounting entries for development gifts.
  • Prepare various accounting corrections and entries as required throughout the year.
  • Assist in the coordination of the audit work required for the annual audit.
  • Other accounting functions as necessary.
  • Other duties as assigned.
Requirements
  •   Associate degree in accounting or business from an accredited college.
  • Two years of experience in accounting and business operations.
  • Strong and demonstrated skills in not-for-profit accounting and financial administration. 
  • A high degree of computer literacy and strong skills in spreadsheet-based financial analysis.
  • Ability to analyze and organize financial data and ability to make accurate computations.
  • Excellent administrative and organizational skills. 
  • Strong oral and written communication skills and good interpersonal skills.
  • Occasionally lifts up to 20 pounds.
  • Generally, works in standard office conditions and climate.
  • Works in a moderately stressful environment, dealing with a wide variety of challenges and deadlines, and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time. 


Salary Description
$28.00 - $33.00 per hour
