Payroll Specialist
Description

The Payroll Specialist is responsible for accurately and timely processing biweekly payroll for hourly and salaried employees using Paylocity. This role ensures payroll compliance, maintains accurate records, resolves payroll discrepancies, supports audits and reporting, and serves as a resource to employees and managers regarding payroll-related questions. The position will also provide support for AP/AR functions.


Essential Duties & Responsibilities

  • Process biweekly payroll for all employees, ensuring accuracy and compliance with company policies and applicable laws and regulations.
  • Review timekeeping, earnings, deductions, benefits, taxes, direct deposits, and other payroll information prior to payroll processing.
  • Process payroll adjustments, including bonuses, reimbursements, retroactive pay, corrections, and other special payments.
  • Administer garnishments, levies, child support orders, and other required payroll deductions.
  • Research and resolve payroll discrepancies and employee or manager questions.
  • Maintain accurate and confidential payroll records.
  • Reconcile payroll registers, taxes, deductions, benefits, and other payroll-related accounts.
  • Assist with payroll tax filings, year-end processing, W-2s/W-2Cs, 1099s, ACA reporting, and other required reporting.
  • Assist with annual payroll audits, reconciliations, and compliance requirements.
  • Prepare payroll reports and information for Finance, Accounting, management, and audits.
  • Process timecards for temporary employees.
  • Partner with Human Resources, Finance/Accounting, benefits providers, and other stakeholders to ensure accurate employee and payroll changes.
  • Identify opportunities to improve payroll processes, accuracy, and efficiency.
  • Provide support for AP/AR functions.
  • Perform other duties as assigned.

Education & Experience

  • Associate degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred; equivalent experience may be considered.
  • 4+ years of payroll processing experience, including hands-on biweekly payroll experience.
  • Experience with Paylocity or a similar payroll/HRIS platform.
  • Experience with payroll reconciliations, audits, year-end processing, and regulatory reporting.
  • Working knowledge of payroll taxes, wage and hour requirements, and applicable federal and state regulations.
  • Strong attention to detail, organization, and time management.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Strong communication and customer service skills.
  • Ability to work independently while collaborating effectively with HR, Finance/Accounting, managers, employees, and external partners.
