Description

We are seeking a detail-oriented and highly organized Enrollment Data Entry Specialist to support the accurate and timely processing of enrollment information. This position is responsible for reviewing, verifying, and entering sensitive enrollment data and supporting documentation into designated systems and databases.

This is a non-phone administrative position focused on data processing, document review, quality assurance, and electronic record management. The role does not include a live customer service phone queue or outbound cold-calling responsibilities.

The ideal candidate is comfortable working in a fast-paced, production-based environment and demonstrates exceptional attention to detail, strong computer skills, and the ability to maintain accuracy while processing a high volume of information.

Requirements

Key Responsibilities

  • Enrollment Data Processing: Accurately enter and update enrollment applications, member information, demographic data, and other required information within designated systems and databases.
  • Application Review & Verification: Review enrollment submissions for completeness and accuracy, identifying missing, inconsistent, or potentially incorrect information before processing.
  • Quality Assurance: Verify entered information against source documentation and established processing guidelines to ensure accuracy and compliance.
  • Document Review: Review and validate supporting electronic documentation associated with enrollment records, which may include identification, eligibility documentation, insurance information, or other required records.
  • Electronic Correspondence: Process requests for missing information, application updates, or status-related communications through approved electronic channels such as email, internal messaging, or ticketing systems.
  • Database Maintenance: Update, correct, organize, and maintain electronic records while identifying potential duplicate, outdated, or incomplete information.
  • Confidentiality & Data Security: Handle sensitive and confidential information in accordance with organizational policies, client requirements, and applicable privacy and security standards.
  • Productivity & Accuracy: Meet established productivity, quality, and turnaround-time expectations while maintaining a high level of accuracy.
  • Issue Escalation: Identify enrollment discrepancies or processing issues that cannot be resolved through standard procedures and escalate them to the appropriate team member or supervisor.
  • Administrative Support: Perform additional data entry, documentation, and administrative processing duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate degree or additional administrative training preferred.
  • Minimum of 1 year of data entry, enrollment processing, medical records, insurance, healthcare administration, or related clerical experience preferred.
  • Demonstrated ability to work accurately with confidential and sensitive information.
  • Experience working in a high-volume, deadline-driven environment preferred.

Skills & Competencies

  • Typing Proficiency: Ability to type a minimum of 50–60 words per minute (WPM) with a high degree of accuracy.
  • Attention to Detail: Strong ability to identify discrepancies in names, dates, identification numbers, codes, and other detailed information.
  • Computer Proficiency: Strong working knowledge of Microsoft Office applications, particularly Excel and Outlook, and the ability to learn new database and enrollment systems quickly.
  • Multi-System Navigation: Comfortable working between multiple applications, browser windows, databases, and dual-monitor environments.
  • Organization: Ability to prioritize workload, manage multiple assignments, and meet established processing deadlines.
  • Written Communication: Clear and professional written communication skills for email, internal messaging, and electronic case documentation.
  • Independent Work: Ability to remain focused and productive with limited supervision while following established procedures.
  • Problem Solving: Ability to recognize inconsistencies, research information within available systems, and determine when an issue requires escalation.

Position Expectations

This position is primarily focused on enrollment processing and data accuracy rather than telephone-based customer service. Success in the role will be measured by the employee's ability to consistently produce accurate work, meet established productivity expectations, protect confidential information, and complete assigned enrollment transactions within required turnaround times.
