Description
The Inventory Clerk completes physical counts and stock checks across tribal facilities. This role compares physical supplies against Purchasing Department records and resolves inventory discrepancies. Responsibilities include tagging equipment and updating records for annual reporting. Working directly with department directors and Purchasing staff, the Inventory Clerk organizes storage spaces and maintains accurate count documentation across tribal programs.
DUTIES/RESPONSIBILITIES:
- Conduct physical counts of equipment, office supplies, building materials, and tools across warehouses, supply rooms, storage yards, and small storage sheds.
- Compare physical counts against Purchasing Department records to catch missing items and extra stock.
- Track down inventory differences by checking delivery receipts, searching storage areas, looking for unrecorded item moves, and asking department directors about missing gear.
- Write down serial numbers, tag numbers, and exact room locations on standard count sheets so every item is easy to find.
- Put official tribal identification tags on unmarked tools, gear, and equipment before adding them to the master records.
- Check stored supplies for broken parts, rust, leaks, or expired dates, and report ruined items directly to Purchasing.
- Work directly with Purchasing staff to correct count mistakes and align physical stock levels with tracking records.
- Type verified item numbers, descriptions, stock codes, and shelf locations into central tracking spreadsheets.
- Clean up storage areas by wiping off shelves, stacking boxes, grouping similar items, and clearing walkways to keep aisles safe and easy to inspect.
- Separate broken, worn-out, or useless gear into holding areas and fill out basic surplus paperwork so items can be thrown out or sold.
- Turn in daily count logs and progress updates to department directors and Purchasing staff.
- Check tool rooms and supply closets against signed checkout sheets and sign-out logs to see who has missing items.
- Work side-by-side with Purchasing staff during annual inventory checks, building walk-throughs, and yearly count reviews.
- Put together final count sheets, stock lists, variance notes, and sign-off pages when a building audit is finished.
- Perform other duties as assigned.
Requirements
REQUIRED SKILLS/ABILITIES:
- Skill in performing precise physical counts and recording numerical data without errors.
- Ability to use basic spreadsheet software, enter data into Excel, and operate handheld barcode scanners.
- Skill in identifying discrepancies between physical stock and written audit reports.
- Ability to map out storage layouts, label shelving units, and arrange boxes for efficient counting.
- Basic math skills to add, subtract, multiply, and divide numbers quickly without using a calculator.
- Strong visual attention to detail when reading small serial numbers, part codes, and faded asset tags.
- Ability to work on your feet all day, stay focused on repetitive counting, and finish assigned rooms on schedule.
- Ability to follow safety rules, lift heavy boxes safely, and keep aisles clear of trip hazards.
- Written communication skills to fill out audit sheets, document missing stock, and write brief status updates.
- Knowledge of tribal community values and cultural protocols when entering tribal buildings and speaking with tribal employees.
EDUCATION & EXPERIENCE:
- High School Diploma or GED equivalent required.
- Minimum of six (6) months of hands-on experience in stock counting, warehouse receiving, or basic inventory recordkeeping preferred.
- Previous experience participating in annual inventory counts or using basic data entry spreadsheets preferred.
PHYSICAL REQUIREMENTS:
- Ability to stand and walk on concrete floors for up to eight hours per day while completing physical counts.
- Capability to lift, carry, push, and pull storage boxes or equipment weighing up to 50 pounds frequently.
- Ability to bend, stoop, crouch, climb ladders, and reach overhead to access high shelves or hidden stock items.
- Fine motor skills and hand-eye coordination to operate barcode scanners, write legibly on count sheets, and type on digital tablets.
- Capability to work inside unconditioned storage facilities, covered storage sheds, and outdoor yards under changing weather conditions.
CONDITIONS OF EMPLOYMENT:
- Successful completion of applicable tribal drug test.
- Successful completion of applicable tribal background check.
- Must pass background investigation for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.
- Possess and maintain a valid driver's license with no serious violations.
