Position Overview
Berger Moving & Storage is seeking a Payroll Specialist to join our team at our Corporate Headquarters in Roseville, Minnesota. This highly visible, on-site role will completely own and process weekly payroll, tax compliance, payroll accounting, reconciliations, and reporting for our multi-state workforce of approximately 370 employees located across 15 states.
Payroll Processing & Administration
- Own and process weekly payroll for a multi-state workforce, ensuring payroll is accurate, timely, and compliant with company policies and applicable laws.
- Perform detailed pre- and post-payroll reviews to identify and resolve discrepancies involving wages, deductions, taxes, benefits, garnishments, and other payroll-related items.
- Maintain payroll-related employee information and deductions, including medical, dental, vision, 401(k), garnishments, and other voluntary or required deductions.
- Partner closely with Human Resources and Benefits to ensure employee changes are accurately and timely reflected in payroll.
- Serve as the dedicated, go-to resource to resolve payroll issues and respond to employee and manager questions in a timely, professional manner.
Payroll Tax & Compliance
- Monitor and oversee federal, state, and local payroll tax compliance for employees located across multiple states and jurisdictions.
- Submit, monitor, and coordinate resolution of payroll tax cases, notices, and other issues with Paylocity and applicable taxing authorities.
- Review quarterly and year-end payroll tax returns prepared by Paylocity for accuracy and completeness.
- Coordinate year-end payroll activities, including W-2 review and reconciliation.
- Stay current on applicable payroll tax and regulatory requirements
Payroll Accounting & Reconciliation
- Prepare and post accurate weekly payroll journal entries to the accounting system.
- Assist with the reconciliation of the payroll bank accounts and payroll-related general ledger accounts, investigate variances, and ensure outstanding items are resolved timely.
- Ensure payroll liabilities, deductions, and other payroll-related accounts are properly recorded and reconciled.
Reporting & Audits
- Prepare, analyze, and distribute weekly, monthly, and ad hoc payroll reports for management.
- Provide payroll information and supporting documentation for financial reporting, audits, and other business needs.
- Assist with the annual workers’ compensation insurance and 401(k) audits.
- Support other payroll, accounting, and reporting projects as needed.
Other
- Maintain confidentiality and exercise sound judgment when handling sensitive employee compensation information.
- Other duties as assigned by management.
Qualifications
- 3+ years of progressive payroll experience, ideally processing multi-state payroll.
- Experience with a modern payroll processing system; Paylocity experience is preferred.
- Solid foundational understanding of payroll accounting, journal entries, reconciliations, and payroll-related general ledger accounts.
- Exceptional attention to detail and accuracy, with the ability to identify, research, and resolve discrepancies.
- Strong organizational skills with a track record of meeting recurring deadlines.
- Ability to work independently as a solo processor while collaborating effectively with Human Resources, Accounting, and branch managers.
- Certified Payroll Professional (CPP) certification is preferred.
- Bachelor’s degree in Accounting, Finance, or related field is preferred.
- Proficiency in Microsoft Excel (vlookups, basic formulas) and standard Office tools.
