Position Summary
MDVIP is seeking a detail-oriented and highly organized Sales Operations Specialist to join our growing Sales Operations team. In this role, you will provide critical operational, administrative, and analytical support to the sales organization — managing collateral and inventory, supporting physician recruitment events, maintaining CRM and referral data, and delivering the reporting that helps sales leadership make informed decisions.
This role blends process management, data accuracy, and field collaboration to keep MDVIP’s sales organization running efficiently. The ideal candidate is proactive, resourceful, and comfortable making business decisions and managing multiple priorities in a fast-paced environment, with a strong service mindset toward internal sales partners. You will collaborate cross-functionally with marketing, physician services, data operations, and the survey team to ensure smooth day-to-day operations.
Key Responsibilities
- Collaborate with the field sales team assisting them in identifying key target markets, qualifying prospective physicians, and providing support for various recruitment strategies.
- Manage marketing collateral and inventory, serving as liaison with print vendors and fulfillment partners to maintain adequate stock, reorder materials, and audit inventory accuracy.
- Build and maintain invitee and attendee lists for physician recruitment events, researching practice eligibility and tracking registration through to event attendance.
- Own the company intranet content library, ensuring sales representatives have access to current, approved resources and materials.
- Manage referral processing, including affiliate referral intake and resolution reporting.
- Maintain competitive intelligence documentation to support sales strategy and positioning.
- Manage corporate expenses, including processing corporate credit card transactions and related documentation.
- Maintain the sales CRM and related tools, ensuring data integrity across physician, account, and territory records.
- Compile, analyze, and distribute sales reports, dashboards, and forecasts to support data-driven decision-making.
- Coordinate physician mailings and direct-mail campaigns, and support the planning and execution of recruitment events, including traveling to and serving in the department’s weekend event lead rotation (approximately four times per year).
- Identify and implement process improvements across sales operations workflows and provide day-to-day operational and administrative support to sales representatives and cross-functional partners.

Required Qualifications:
- Bachelor’s degree from a four-year college or university and at least 2 years of related business experience (inside sales support, administrative, marketing, or research); equivalent combination of education and experience considered.
- Excellent knowledge of Microsoft Outlook, Word, and Excel, including advanced features such as filters, custom sorting, data validation, and pivot tables.
- Strong verbal and written communication skills.
- Prior experience working with a CRM database (Salesforce preferred).
- Ability to manage multiple projects simultaneously and adapt to shifting priorities under tight timelines.
- Demonstrated ability to work collaboratively across teams and all levels of the organization.
Preferred Qualifications:
- Prior healthcare industry experience.
- Prior MDVIP experience (may be substituted for the general experience requirement).
- Experience with expense management systems (e.g., Coupa) and vendor or print fulfillment coordination.
- Familiarity with event planning or logistics support.
