Living Resources’ Employment Department provides vocational services to individuals with disabilities through partnerships with The Adult Career and Continuing Education Services – Vocational Rehabilitation (ACCES-VR), The Office for Persons with Developmental Disabilities (OPWDD), and The Commission for the Blind. The role of the Administrative Coordinator is to provide a variety of operational and administrative supports to the Employment Services Department. This position involves a wide variety of duties that serve to ensure regulatory compliance, carry out essential day-to-day operations, assist with billing, and directly support Career Counselors and other Employment staff. 


 OPWDD Supported Employment (SEMP) Services 

  • Maintain Netsmart client database: Enrollment/discharge, authorizations, modifiers/billing codes, employment/placement information, caseload assignment, and upload required documents 
  • Complete OPWDD Quarterly SEMP Report and ETP Service Hours spreadsheet · Collaborate with Care Management Organizations (CCO) for the purpose of enrollment, audit compliance, and service delivery for SEMP and CBPV clients 
  • Maintain OPWDD audit spreadsheet and collaborate with OPWDD and CCOs to collect missing documentation · Complete Staff Action Plans (SAPs) 
  • Track and report Self-Direction hours 
  • Track completion of required OPWDD training for all Career Counselors · Document for all billable SEMP Services 
  • Review documentation and reports for quality, accuracy, and timeliness · Collaborate with the Finance department to troubleshoot billing issues or rejections 
  • Ensure all Medicaid and waiver documentation is in place prior to admission 
  • Manage CHOICES enrollment/discharge in CHOICES for all clients receiving SEMP & Community-Based Prevocational Services (CBPV) 

 ACCES-VR, Commission for the Blind, and Private Pay Contract Services 

  • Track and review billable reports submitted by Career Counselors and submit for payment in ACCES-VR’s AWARE billing system 
  • Provide assistance to staff on ACCES-VR Reporting forms · Ensure that Career Counselors complete Annual Service Plans for all ACCES-VR Extended clients 
  • Maintain client record database (AWARE & SharePoint) 
  • Assist in tracking and reporting program metrics and impact (Demographics, employment outcomes, etc.) 

 

Administrative Responsibilities

  • Maintain client records
  • Order office supplies
  • Field phone calls and emails to the Employment Department
  • Review, correct, and approve employee timecards
  • Track completion of agency required training for all Employment Department staff
  • Responsible for aligning and demonstrating the agency values in carrying out the duties of this position.
Requirements
  • High School Diploma and at least two years’ experience in a similar role
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.)
  • Exceptional organization, time management, and problem-solving skills
  • Excellent verbal and written communication skills
  • Experience with Electronic Health Record (EHR) systems
  • Valid driver’s license and reliable transportation

Preferred Qualifications/Skills:

  • Degree in Human Services or related field and at least two years’ experience in a similar role
  • Knowledge of and experience with OPWDD HCBS Medicaid Waiver and/or Adult Career & Continuing Education Services - Vocational Rehabilitation (ACCES-VR)
  • Experience with case management or employment services
  • Experience with Netsmart/myEvolv

Salary Description
$28.06/hour
