Clinical Operations Specialist provides operational, administrative, and coordination support for TrueScripts’ Clinical Programs and formulary management functions.This role is designed to support the day-to-day operational needs surrounding clinical programs, formulary processes, documentation, reporting, communication, and coordination so that clinical leadership can remain focused on the development, strategy, oversight, and continuous improvement of TrueScripts’ core clinical programs.The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working across multiple teams and priorities. This individual will work closely with Clinical, Operations, Client Services, Account Management, Implementation, Compliance, Pharmacy Network, and other internal teams to ensure clinical program and formulary-related processes are organized, documented, communicated, and executed effectively.This position does not replace clinical judgment or licensed pharmacist responsibilities. Clinical Program Operations

· Provide day-to-day operational and administrative support for TrueScripts clinical programs.

· Coordinate timelines, tasks, documentation, and follow-up associated with clinical program development and implementation.

· Maintain program documentation, workflows, process guides, and supporting materials.

· Track program-related action items, deadlines, deliverables, and outstanding decisions.

· Assist with preparing materials, reports, presentations, and communications related to clinical programs.

· Coordinate with internal teams to ensure program changes are communicated and implemented appropriately.

· Help identify operational gaps, recurring issues, and opportunities to improve clinical program processes.

· Assist with testing, implementation, and ongoing maintenance of clinical program changes.

· Support the development and maintenance of standardized processes and documentation.

· Maintain organized records related to clinical programs, decisions, changes, and supporting documentation.

Formulary Management Support

· Provide administrative and operational support for formulary management activities.

· Maintain formulary-related documentation, files, spreadsheets, and tracking tools.

· Coordinate updates to formulary materials and communicate approved changes to appropriate internal teams.

· Assist with tracking formulary changes, effective dates, implementation requirements, and related communications.

· Coordinate information and documentation needed for formulary reviews and updates.

· Support the preparation of materials for formulary-related meetings and discussions.

· Assist with maintaining accurate and current formulary information across applicable internal resources.

· Partner with appropriate clinical and operational team members to identify discrepancies or issues requiring clinical review.

· Escalate clinical questions, exceptions, or decisions to the appropriate pharmacist or clinical leader rather than making independent clinical determinations.

Data, Reporting & Documentation

· Assist with gathering, organizing, and validating information used in clinical program reporting and analysis.

· Maintain recurring reports, trackers, dashboards, and other operational tools.

· Assist with compiling program performance information for leadership review.

· Identify missing, inconsistent, or outdated information and coordinate appropriate follow-up.

· Maintain accurate documentation and version control for clinical program and formulary materials.

· Support data and information requests from internal departments, clients, and leadership as appropriate.

Cross-Functional Coordination

· Serve as an operational point of contact for assigned clinical program processes.

· Coordinate with Operations, Client Services, Account Management, Implementation, Compliance, Pharmacy Network, and other departments as needed.

· Help translate approved clinical program or formulary changes into operational tasks and follow-up.

· Coordinate meetings, agendas, action items, and follow-up for assigned initiatives.

· Assist in ensuring stakeholders have the information and resources needed to execute program changes successfully.

· Build strong working relationships across departments to improve communication and execution.

Process Improvement

· Evaluate existing administrative and operational processes and identify opportunities for increased efficiency.

· Help develop standardized workflows, checklists, templates, and procedures.

· Identify recurring manual work, bottlenecks, or unnecessary steps and bring recommendations forward.

· Participate in process improvement initiatives related to Clinical Programs and formulary management.

· Assist with documenting current-state and future-state processes.

· Support efforts to reduce manual work and improve scalability as TrueScripts grows.

General Administrative Support

· Manage and prioritize multiple projects and responsibilities while meeting established deadlines.

· Prepare meeting materials, notes, action-item trackers, and follow-up communications.

· Maintain organized electronic files and documentation.

· Assist with special projects and initiatives assigned by Clinical or Operations leadership.

· Perform other duties and responsibilities as assigned.

· This role becomes a reliable operational partner to the Clinical team and helps the organization scale its clinical programs effectively.

Requirements

Required

· High school diploma or equivalent; associate or bachelor’s degree preferred.

· 2+ years of experience in healthcare, pharmacy, PBM, insurance, benefits, operations, or a related environment preferred.

· Strong organizational and administrative skills.

· Exceptional attention to detail and accuracy.

· Ability to manage multiple priorities and deadlines.

· Strong written and verbal communication skills.

· Proficiency with Microsoft Office, including Excel, Word, and Outlook.

· Ability to work collaboratively across multiple departments.

· Demonstrated ability to identify issues, follow through on commitments, and proactively communicate status.

Preferred

· Experience working in a pharmacy, PBM, healthcare, or clinical environment.

· Familiarity with formulary management or pharmacy benefit operations.

· Experience supporting clinical programs or healthcare initiatives.

· Experience working with spreadsheets, reporting tools, workflow systems, or project-management tools.

· Familiarity with pharmacy terminology and clinical program concepts.

· Experience documenting processes and developing standard operating procedures.

· SQL experience is a plus.
