POSITION SUMMARY:

Help bring YMCA events to life! The Events Assistant supports the YMCA of Southeastern North Carolina’s Development Department by helping plan and deliver races and community events that connect people to the Y’s mission. Reporting to the Community Relations & Events Director, this role combines behind-the-scenes planning, communications and social media, and hands-on event support. It’s an opportunity for a personable, organized team player who enjoys both preparing the details and seeing an event come together. 

 

ESSENTIAL FUNCTIONS:

  • Represents the YMCA at community events, creating a welcoming and approachable experience while promoting programs, answering questions, and engaging community members.
  • Supports communications and social media efforts by preparing content, sharing updates, and promoting YMCA programs and events.
  • Completes administrative and desk-based work, including event planning, scheduling, correspondence, recordkeeping, and tracking event details.
  • Collaborates with YMCA staff, community partners, and contracted race companies to plan and carry out races and outreach events.
  • Assists with event logistics including food and water, traffic notifications, vendor services, accommodations, and supplies.
  • Manages increased workloads leading up to and during YMCA races throughout the year and provides hands-on support with day-of setup, event operations, and breakdown.
  • Communicates with volunteers to share event information, provide instructions, and answer questions.
  • Serves as a YMCA representative when interacting with schools, churches, sponsors, and other community organizations. 
  • Assists with securing sponsorships and maintaining sponsor relationships.
  • Organizes and maintains promotional items, giveaways, and event supplies.
  • Travels weekly between YMCA locations, community sites, and event venues to support program and event responsibilities.

Requirements

 QUALIFICATIONS:

  • Previous experience in recreation management, program management, or event planning.
  • Coursework or current enrollment in event management, parks and recreation, or a related field is a plus but is not required.
  • Strong interpersonal and public communication skills, with a personable and approachable manner.
  • Strong organizational skills and the ability to manage competing priorities and meet deadlines.
  • Proficiency with computers and common office applications; experience with social media and content creation preferred.
  • Ability to work collaboratively with staff and community partners.
  • Valid driver’s license
  • Willingness and ability to drive a 16-foot box truck.
  • Willingness and ability to access an insured personal vehicle available for work-related travel during scheduled working hours. 
  • Ability to lift and carry up to 25 pounds.
  • Availability to work occasional evenings and weekends as required.

YMCA SAFETY REQUIREMENTS:
CPR & First Aid – Must be able to complete and maintain certification in CPR and First Aid; able to assist individuals in need until professional help arrives.

Emergency Response – Ability to quickly identify emergency situations (medical, fire, environmental, etc.) and respond appropriately following established procedures.

Incident Management – Required to report all safety incidents and hazards immediately and accurately to supervisors.

Safe Environment – Commitment to maintaining a safe, clean, and hazard-free environment for all staff, members, and participants.

Physical Readiness – Must be able to perform physical tasks related to safety, including assisting individuals of various ages and physical abilities.

Compliance – Follow all YMCA safety protocols, OSHA standards, and state/local regulations as applicable.
