St. Luke's Cataract & Laser Institute is looking to hire a full-time, Patient Coordinator for Reflections at our Tarpon Springs location.

Position Summary


The Patient Experience Coordinator serves as the first point of contact for patients and is responsible for delivering a professional, organized, and welcoming front office experience. This role supports patient scheduling, financial collection, documentation accuracy, and daily operational flow within the plastic surgery practice.

The Patient Experience Coordinator is expected to uphold Reflections’ standards of professionalism, discretion, service excellence, and operational accuracy in every interaction.


Responsibilities:


Front Desk Operations and Patient Flow:


Greet patients promptly and professionally upon arrival

Maintain a calm, polished, and organized reception environment

Check patients in and out accurately and efficiently

Verify and update patient demographics and insurance information

Collect payments in accordance with practice financial policies

Manage multi-line phone systems with clarity and professionalism

Schedule consultations, procedures, and follow-up appointments accurately

Support efficient patient flow throughout the day


Communication and Coordination


Serve as a liaison between patients, clinical team, and surgeon

Respond to patient inquiries regarding services, appointments, and next steps

Provide clear instructions regarding documentation, preparation, and arrival times

Assist with coordination of surgical scheduling and calendar management

Escalate concerns or scheduling conflicts appropriately

Obtain medical clearance from outside provider offices to ensure patients are cleared for surgery


Documentation and Administrative Support


Ensure intake paperwork is completed accurately and in full

Maintain organized and compliant patient records

Assist with correspondence, forms, and reports as assigned

Monitor and maintain front office supply inventory

Adhere to HIPAA and patient confidentiality standards at all times


Performance Expectations:


Maintain scheduling accuracy and minimize appointment errors 

Ensure financial collections are completed according to policy

Protect patient confidentiality without exception

Communicate clearly and professionally in person and by phone

Maintain composure in high-volume or fast-paced situations

Contribute positively to team collaboration and workflow efficiency

Present a polished professional appearance and demeanor consistent with brand standards

Requirements

  Qualifications


Minimum 2 years of experience in a medical office, aesthetic practice, or high-end customer service environment preferred

Experience with EMR systems preferred

Proficiency in Microsoft Office

Working knowledge of HIPAA and patient confidentiality standards

Strong written and verbal communication skills
