The Patient Access Representative is responsible for coordinating and participating in customer service activities, including patient care within the admission setting. Meets the communication needs of patients and families, departmental staff, and medical staff. Prepares and compiles medical records for the Emergency (ED), Medical/Surgical (Med/Surg), and Surgery departments. When working in the ED, initiates and carries out directives from physicians and nursing staff. Participates in performance improvement and quality improvement activities. Maintains compliance with regulatory agency requirements, as well as nursing and hospital policies, procedures, and standards. Assist patients with financial questions and payment processing. Responsible for inventory control, monitoring office supply levels, and ordering necessary supplies.

Duties and Responsibilities

  • Coordinate patient registration and admission activities for a variety of hospital services, including the Emergency Department (ED), Surgery, Outpatient Therapy, Laboratory, Radiology, Observation, Inpatient, Transitional Care, Labor & Delivery (L&D), and Wound Care.
  • Review, verify, and update patient demographic, insurance, and account information for each encounter to ensure accuracy and completeness.
  • Prepare charts for scheduled admissions and assemble admission packets, including all required consent forms and supporting documentation.
  • Assist with patient transfers from the ED by coordinating and copying required medical records and transfer documentation to facilitate continuity of care.
  • Communicate effectively with patients and visitors regarding delays, waiting times, and other pertinent information to promote a positive patient experience.
  • Verify patient insurance coverage and obtain accurate payer information in accordance with established registration procedures.
  • Maintain the ED patient log and accurately document admissions, transfers, discharges, and expirations during system downtime procedures.
  • Demonstrate flexibility, organization, and the ability to work effectively in a fast-paced environment while prioritizing multiple responsibilities.
  • Maintain a clean, organized, and professional workstation in accordance with departmental and hospital standards.
  • Provide exceptional customer service to patients, families, providers, and staff while always maintaining confidentiality and professionalism.
  • Verify patient insurance coverage and obtain accurate payer information in accordance with established registration procedures.
  • Maintain the ED patient log and accurately document admissions, transfers, discharges, and expirations during system downtime procedures.
  • Demonstrate flexibility, strong organizational skills, and the ability to perform effectively in a fast-paced and high-pressure environment.
  • Maintain a clean, organized, and professional workstation in accordance with departmental and hospital standards.
  • Interact professionally and compassionately with patients and their families, providing explanations, information, and reassurance as needed.
  • Interview patients or their designated representatives during unscheduled admissions to obtain and verify demographic, contact, emergency contact, insurance, and other required registration information.
  • Educate patients and their representatives regarding billing practices, the complaint and grievance process, patient rights, HIPAA privacy regulations, visitation guidelines, and other hospital resources. Distribute required hospital literature and informational materials.
  • Communicate clearly, professionally, and effectively with supervisors, nurse managers, physicians, coworkers, patients, and visitors.
  • Collect copayments, deductibles, and other patient payments when required; accurately document transactions and forward payment information to the Patient Financial Office.
  • Maintain knowledge of hospital policies, procedures, and available services. Ensure registration and admission documentation meets current regulatory, accreditation, and organizational standards.
  • Refer patients to the Office Complex when financial counseling, payment arrangements, or additional financial assistance resources are needed.
  • Treat patients and their families with respect, dignity, and compassion while always maintaining the confidentiality and security of patient information.
  • Foster and maintain positive working relationships within the department and across other hospital departments to promote effective teamwork and patient care.
  • Answer and route telephone calls promptly and courteously, communicating information accurately to the appropriate staff, patients, or family members.
  • Operate office and registration equipment safely, accurately, and in accordance with manufacturer and hospital guidelines.

  • High school graduate or equivalent.
  • Proficiency in data entry using PC based software.
