The Finance & Accounting team is seeking a highly motivated, detail-oriented Coordinator, Accounts Payable to support a growing, fast-paced organization. This role is primarily responsible for accurate and timely invoice entry, supplier creation and maintenance, approval workflow management, and payment support across multiple business entities. The position also supports procurement and supplier management initiatives, finance ticketing portal conversion, annual 1099 reporting, audit requests, and other Accounting Operations projects.
The ideal candidate combines strong transactional execution with sound judgment, exceptional communication, adaptability, and a protective approach to company assets and information. This individual must be comfortable working through ambiguity, including evaluating expense coding when budgets or formal guidance are still developing, while recognizing when a matter requires escalation.
Responsibilities:
- Enter invoices accurately and timely across multiple legal entities, business units, and cost centers; review submissions for completeness, coding, approvals, support, and policy compliance
- Use available business context, historical activity, contracts, and established coding practices to recommend appropriate expense coding when budgets or formal guidance have not been finalized; escalate material, unusual, or unclear items
- Create and maintain suppliers in Workday, collect required tax and banking documentation, and resolve incomplete or inconsistent onboarding information
- Perform supplier and bank account verification procedures, apply heightened scrutiny to new suppliers and banking changes, and escalate potential fraud indicators or control concerns
- Manage invoice queues and approval workflows, proactively follow up with internal partners, and communicate potential delays or missing requirements clearly and professionally
- Support scheduled payment activity, approved urgent or off-cycle requests, invoice research, payment inquiries, duplicate reviews, and other AP exceptions
- Maintain complete, organized, and audit-ready invoice and supplier documentation, and support internal and external audit requests with urgency and attention to detail
- Protect confidential financial, banking, tax, contractual, employee, executive, athlete, talent, partner, and strategic business information with a high degree of discretion
- Communicate confidently and professionally with employees, executive assistants, business leaders, suppliers, consultants, and other external partners, including in time-sensitive or high-profile situations
- Assist with procurement rollout, supplier management improvements, Workday enhancements, finance ticketing portal conversion, corporate and virtual card programs, process documentation, testing, training, and issue resolution
- Support annual 1099 preparation, supplier tax documentation review, validation, corrections, and related supplier follow-up
- Assist with AP-related month-end close activities, open invoice and aging reviews, accrual support, account reconciliation research, coding corrections, and transaction-level analysis
- Identify gaps, inefficiencies, and risk points in existing processes; recommend practical solutions that strengthen controls, improve the stakeholder experience, and support continued growth
- Adapt quickly as priorities, systems, coding structures, processes, and leadership expectations evolve; manage recurring responsibilities and a variety of special projects concurrently
- Take ownership of assigned work, drive issues through resolution, and balance responsiveness with accuracy, authorization, confidentiality, and financial control
- 3+ years of Accounts Payable, accounting operations, supplier management, or related experience
- Strong understanding of invoice processing, supplier onboarding, approval workflows, payment support, and documentation requirements
- Experience working in an ERP or financial management system
- Demonstrated ability to work effectively with incomplete information, apply judgment, ask focused questions, and escalate appropriately
- Strong aptitude for audit support, fraud awareness, risk identification, internal controls, and protection of company assets and information
- Excellent written and verbal communication skills, with the ability to build effective relationships with both internal and external partners
- High degree of integrity, discretion, and professional maturity when handling sensitive or confidential information
- Highly organized with strong time management, follow-through, critical thinking, and attention to detail
- Ability to manage high-volume transactional responsibilities while also supporting system implementations, process changes, and special projects
- Proficient in Microsoft Excel and able to learn new systems and processes quickly
Preferred:
- Experience with Workday Financial Management
- Experience supporting multiple legal entities, business units, or cost centers
- Experience with supplier banking verification, fraud prevention controls, internal or external audit support, and 1099 reporting
- Experience with procurement systems, finance ticketing portals, workflow implementations, or corporate and virtual card programs
- Experience creating SOPs, job aids, process documentation, or training materials
- Experience in a high-growth, startup, sports, media, entertainment, technology, or project-based environment
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant experience
