Event Manager (Convention Center) - Full Time

Description

Under the general supervision of the Senior Event Manager (Convention Center), the Event Manager serves as the primary contact for assigned Convention Center events, overseeing planning and coordination from sales handoff through event execution, final billing, and post-event follow-up. This position provides leadership, guidance, and support to the Events team members, promoting collaboration and consistent service standards. Responsibilities include maintaining clear client communication, developing actionable event plans, coordinating internal departments and service partners, and resolving challenges to deliver safe, efficient events and exceptional client and guest experiences.

  • Independently manage a portfolio of events of varying size and complexity, including conventions, conferences, trade shows, meetings, banquets, and other special events.
  • Serve as the primary contact for assigned events, guiding clients through planning requirements, deadlines, venue policies, service options, and operational considerations.
  • Conduct site visits, follow up with repeat clients, and attend various other client meetings as part of the event planning process. 
  • Work closely with the Sales Team attending site tours and pre-cons to address any questions regarding equipment rates, services, staffing, and operational policies. 
  • Plan, coordinate, and execute meetings/events according to the needs of our clients in a timely manner while maintaining communication with the client throughout the process. 
  • Obtain, organize, and interpret detailed requirements and schedules from clients and vendors to ensure all departments have the necessary information to successfully and efficiently execute the event, including but not limited to outside service needs with the food and beverage contractor, decorators, the audio-visual company, and/or internal departments.
  • Input and maintain accurate information in the Event Management System, including all event-related details, diagrams, expenses, and invoice the client accordingly.
  • Serve as a liaison between clients and internal/external service partners, proactively communicating event requirements, changes, deadlines, risks, and operational impacts to ensure alignment across all departments.
  • Prepare and distribute event details, service orders, floor plans, staffing requirements, and schedules within established department deadlines.
  • Prepare service estimates, explain charges, document client approval of additional services, track billing changes, and reconcile event charges in coordination with Finance.
  • Assist Senior Event Manager in recommending event assignments based on event complexity, staff workload, experience, and development opportunities. 
  • Support the Senior Event Manager in training, coaching, and mentoring Event Services team members. 
  • Identify opportunities to improve Event Services procedures, communication workflows, documentation, operational efficiency, and the overall client experience; collaborate with department leadership and cross-functional partners to implement improvements.
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively to create an exceptional customer experience. 
  • Respond to crowd control and/or crowd management situations in a prompt and decisive manner and orally respond in a professional and diplomatic manner during crisis and/or sympathetic situations.
  • Identify and promptly address crowd management concerns, safety hazards, and service disruptions in coordination with Security and other responsible departments. 
  • Respond to building alarms and emergencies in accordance with established procedures, including notifications, escalation, evaluation coordination, and incident documentation as required. systems. Make immediate decisions and communicate with all users of the facility in an emergency.
  • Attend weekly operations and logistics meetings. Develop and maintain a harmonious working relationship with all other departments. 
  • Serve as Manager on Duty (MOD), exercising designated onsite authority in accordance with Gas South District’s MOD procedures. Coordinate event operations, direct immediate responses to operational issues and emergencies, and communicate with department leaders, Security, and emergency responders as appropriate. 
  • Work extended and/or irregular hours, including nights, weekends, and holidays, as needed.

Skills and Abilities

Position requires the following skills and abilities:

  • Working knowledge of convention center operations, room configurations, event services, and move-in and move-out logistics.
  • Demonstrate the principles and techniques of supervision, training, budgeting, and other administrative duties.
  • Handle objections and offer comparable solutions to clients and business partners. 
  • Perform multiple tasks simultaneously. 
  • Be able to get in and around the facility – position requires personal mobility.
  • Be able to withstand moderate to loud noises.
  • Operate a personal computer using Windows and Microsoft Office software as well as event booking/scheduling software and drawing programs. 
  • Operate a portable radio and standard office equipment.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Organize and prioritize work to meet deadlines with special attention to detail. 
  • Work effectively under pressure and/or a stringent schedule and produce accurate results.
  • Work as a team member as well as independently, exercising judgment, initiative, and confidentiality. 
  • Maintain an effective working relationship with clients, guests, employees, and others encountered in the course of employment.
  • Remain flexible and adjust to situations as they occur.
  • Possess a valid driver’s license and be able to legally operate a motor vehicle in the state of Georgia.

Education and Experience

  • Bachelor’s degree from an accredited college or university with major coursework in business administration, hospitality management, event management, or another related field. 
  • Additional years of experience may be substituted for formal education. 
  • Minimum of three years of progressively responsible experience in event management, convention services, hospitality, or venue operations, including demonstrated experience independently coordinating events of varying size and complexity.
  • Customer service experience is required.
