Keystone CPAs is seeking a proactive and detail-oriented Paralegal to support our Tax Services Group (TSG), a specialized practice serving business owners, attorneys, and CPA firms throughout the United States.
TSG provides advanced tax research, tax controversy services, audit support, and strategic tax consulting. Working closely with the Tax Controversy Manager and team, you will own administrative case coordination, prepare accurate supporting documents, drive client follow up, and keep deadlines and deliverables on track.
This position is based in our Reno office and involves regular collaboration with team members working remotely.

Key Responsibilities
Case Management and Deadline Coordination
- Maintain complete, accurate, and consistently organized electronic files for tax controversies, audits, appeals, and related advisory matters.
- Log and promptly route agency notices, track response dates, filing deadlines, document requests, assigned owners, and next steps.
- Maintain current case calendars and action lists; escalate missing information, approaching deadlines, and potential delays early to the responsible professional.
- Prepare concise case summaries, factual timelines, and status updates identifying open items, accountable owners, and next actions.
Document Preparation and Research Support
- Draft, format, proofread, and assemble correspondence, factual summaries, memoranda, and response packages for professional review and approval.
- Organize and check supporting records, exhibits, citations, and document indexes for completeness before professional review and submission.
- Conduct assigned legal and factual research using approved resources; document sources and findings for professional review.
- Prepare authorized forms and supporting materials, including powers of attorney and records requests, for professional review.
- Support supervising attorneys with litigation documents, filing requirements, and submission logistics when applicable.
Client and Agency Coordination
- Own assigned requests and follow
-ups for tax returns, financial records, notices, and other documents; track outstanding items through receipt. - Coordinate meetings, maintain reliable communication records, and document decisions, assigned action items, and follow-up dates.
- Assist with administrative communications with the IRS and state tax agencies as authorized.
- Provide professional, responsive service while directing substantive tax and legal questions to the appropriate professional.
Team and Practice Support
- Collaborate with the Tax Controversy Manager, attorneys, CPAs, and other TSG professionals.
- Enter time
,promptly and accurately; keep matter notes,and task statuses current to support, visibility, and workload management. - Maintain and improve standardized templates, checklists, and document-management procedures to reduce rework and missed steps.
- Safeguard confidential client information and use approved firm systems and processes for document handling and sharing.
All substantive legal work will be performed under attorney supervision. This role does not independently provide legal advice or represent clients.
Direct tax experience is preferred, but candidates with strong transferable paralegal skills and an interest in developing tax controversy expertise are encouraged to apply.

Required Qualifications
- At least three years of paralegal experience in a law firm, corporate legal department, government agency, or comparable professional setting.
- Paralegal certificate, associate degree in paralegal studies, or an equivalent combination of education and relevant experience.
- Demonstrated experience managing multiple complex matters, tracking deadlines, and preparing accurate, review-ready documents.
- Strong writing, proofreading, research, and analytical skills.
- Proficiency with Microsoft Word, Excel, Outlook, and PDF tools; ability to learn firm workflow and document-management systems.
- Ability to prioritize independently, close the loop onassignments, and escalate risks before deadlines or deliverables are affected.
- Sound judgment and discretion when handling sensitive financial and legal information.
- Ability to work onsite in Reno and collaborate effectively with a geographically distributed team.
Preferred Qualifications
- Experience supporting tax controversy, IRS examinations, appeals, collections, or tax litigation.
- Familiarity with tax notices, financial records, tax returns, and IRS procedures.
- Experience in civil litigation, business law, bankruptcy, or another document-intensive practice.
- Familiarity with legal research platforms, electronic filing systems, and case-management software.
- Experience working with attorneys, CPAs, or other professional-services teams.
- Bachelor's degree or a recognized professional paralegal certification.
