The Concierge/Administrative Support position serves as a welcoming point of contact for Independent Living residents, families, visitors, vendors, and associates while providing administrative support to the Director of Operations.
This full-time position assists residents with reservations, transportation, work requests, community services, and other daily needs. Responsibilities also include monitoring designated emergency systems, preparing resident communications, maintaining information through Uniguest and other community systems, completing data entry and recordkeeping, and assisting with administrative projects.
The successful candidate will be friendly, professional, organized, detail-oriented, comfortable using technology, and able to manage multiple priorities while maintaining excellent resident service and front-desk coverage. This position works collaboratively across departments and supports Santa Marta’s Mission, Values, and Catholic social teachings.
- High school diploma or equivalent required.
- Two years of experience in customer service, administrative support, reception, or a related field preferred.
- Senior living, hospitality, healthcare, or other service-oriented experience preferred.
- Strong customer-service, communication, organization, and problem-solving skills.
- Ability to manage multiple priorities, maintain accuracy, and follow through in a busy, resident-focused environment.
- Professional judgment and discretion when handling confidential information.
- Proficiency in Microsoft Word and Outlook, with basic Excel skills.
- Ability to learn Uniguest and other community software and communication systems.
- Ability to prepare and proofread professional communications, notices, calendars, and resident-facing materials.
- Ability to work independently and collaboratively while balancing concierge and administrative responsibilities.
- Dependable attendance and availability during scheduled hours.
- Ability to sit, stand, walk, use standard office equipment, and lift or move up to 20 pounds as needed.
- Ability to respond appropriately to emergency systems and resident needs in accordance with established procedures.
