Job Summary: 

The Portfolio Manager is responsible for managing an assigned portfolio of HOA communities and serving as the primary point of contact for board members, homeowners, vendors, and internal staff. This position oversees day-to-day community operations, coordinates vendors and maintenance, supports board meetings and decisions, and ensures community needs are addressed professionally and timely.

Requirements

 Key Responsibilities

  • Manage the day-to-day operations of an assigned portfolio of HOA communities.
  • Serve as the primary contact for HOA boards and provide guidance on community operations.
  • Communicate professionally with homeowners, board members, vendors, and contractors.
  • Prepare for and attend board meetings, annual meetings, and other community meetings.
  • Prepare agendas, reports, notices, and meeting documentation.
  • Coordinate and oversee community maintenance, repairs, inspections, and projects.
  • Monitor vendor performance and ensure work is completed properly and on schedule.
  • Respond to homeowner and board inquiries and follow up on outstanding requests.
  • Assist with enforcement of governing documents, rules, and community policies.
  • Review invoices, budgets, financial reports, and vendor proposals as needed.
  • Maintain accurate community records and documentation.

Operational Support

  • Coordinate with accounting and internal departments on community financial and operational matters.
  • Assist with annual budgets and community financial planning.
  • Obtain and review vendor proposals and bids.
  • Track community projects, deadlines, and maintenance needs.
  • Provide recommendations to boards regarding community operations and expenditures.
  • Maintain strong relationships with board members, homeowners, and vendors.
Qualifications
  • 2+ years of HOA, community association, property management, or related experience.
  • Experience managing HOA communities and working directly with boards preferred.
  • Strong knowledge of HOA operations and governing documents.
  • Excellent communication, customer service, and conflict-resolution skills.
  • Strong organizational skills with the ability to manage multiple communities and priorities.
  • Proficient in Microsoft Office 365; HOA management software experience preferred.
  • Strong attention to detail and follow-through.
  • Ability to attend evening board meetings as required.
