Job Summary:

The Accounting & Insurance Coordinator supports the financial and insurance administration of assigned homeowners associations. This position is responsible for maintaining accurate accounting records, processing invoices and payments, assisting with financial reporting, and coordinating community insurance policies and documentation. The role works closely with HOA managers, board members, vendors, accounting teams, and insurance providers.

Requirements

 Key Responsibilities

  • Support accounting operations for assigned HOA communities.
  • Process and review invoices, payments, deposits, and other financial transactions.
  • Maintain accurate community accounting records and assist with reconciliations.
  • Assist with monthly financial reporting and account reviews.
  • Monitor community insurance policies, renewals, and expiration dates.
  • Coordinate with insurance brokers and carriers regarding policy information, renewals, and documentation.
  • Maintain current insurance certificates, policies, and related records.
  • Communicate with HOA managers and board members regarding accounting and insurance matters.
  • Research and resolve billing, payment, and insurance documentation issues.
  • Maintain organized and accurate financial and insurance files.
Accounting & Insurance Support
  • Assist with annual insurance renewals and obtain updated policy information.
  • Track insurance coverage and required documentation for assigned communities.
  • Assist with insurance claims by gathering and providing required documentation to managers, boards, and insurance representatives.
  • Review invoices and insurance-related charges for accuracy.
  • Assist with audits, financial reviews, and other accounting projects.
  • Maintain confidentiality of financial and community information.
Operational Support
  • Coordinate with HOA managers, vendors, accounting staff, and insurance providers.
  • Follow up on outstanding accounting and insurance requests.
  • Ensure financial and insurance records are complete and up to date.
  • Assist with improving accounting and administrative processes.
  • Perform other accounting, insurance, and administrative duties as assigned.
Qualifications
  • 2+ years of accounting, bookkeeping, insurance, or administrative experience.
  • HOA or property management experience preferred.
  • Knowledge of accounts payable, accounts receivable, reconciliations, and basic financial reporting.
  • Strong attention to detail and organizational skills.
  • Proficient in Microsoft Excel and accounting software.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work professionally with boards, vendors, insurance providers, and internal teams.
  • Insurance industry experience or familiarity with property/community association insurance preferred.
