Description
Overview: The Office Assistant plays a key role in supporting the daily operations of the office by assisting with organization, recordkeeping, data tracking, and administrative projects. This position works closely with the Office Administrator, VP of Venue Operations, and other members of the management team to help maintain accurate records, organized office systems, and efficient business processes across the company.
Reports To: Vice President of Venue Operations
Hours: 20 hours per week
Key Responsibilities:
- Coordinate the timely submission of documentation to Human Resources to support accurate recordkeeping and reporting.
- Support data tracking, reporting, and spreadsheet updates as needed.
- Assist with filing, document organization, and general office recordkeeping.
- Help keep calendars, event files, and internal documents up to date.
- Assist with onboarding paperwork and training documentation.
- Support payroll, invoice tracking, and other administrative recordkeeping functions.
- Assist with compiling operational, personnel, and financial reports for management review.
- Support purchasing, vendor documentation, and invoice organization as needed.
- Assist with creating signage, flyers, forms, and other office documents.
- Help with special projects for the Office Administrator and executive leadership.
- Maintain clean, organized, and professional office workspaces.
- Perform additional duties as assigned
Requirements
- Organized and detail-oriented with strong time management and recordkeeping skills.
- Proficient in Microsoft Office, including Excel, Word, Outlook, and Teams.
- Comfortable handling confidential information with professionalism and discretion.
- Strong written and verbal communication skills.
- Flexible and proactive in supporting projects and adapting to changing priorities.
- Positive attitude and willingness to assist where needed.
