Description

Invariant seeks a Manager, New Business Operations, to support our new business function and Chief Strategy Officer at the intersection of business development, client service, and operational excellence. This role is ideal for someone who is highly organized, detail-oriented, responsive, and eager to develop experience in a fast-paced professional services environment. 


You will play a critical role in the day-to-day execution of Invariant’s new business efforts. Working closely with the Director, Strategy and Growth and Chief Strategy Officer, you will coordinate scheduling and logistics, support pitches and proposal development, maintain accurate pipeline and CRM data, prepare research and background materials, and track projects, deadlines, and follow-up across the firm. 


You will help ensure that new business opportunities move efficiently from initial conversation through pitch, proposal, and decision. This role requires someone who can anticipate needs, keep multiple workstreams organized, and ensure that the details behind the firm’s business development efforts are handled accurately and consistently.

What you’ll do 

  • Support the Chief Strategy Officer by coordinating new business scheduling, managing meeting logistics, organizing priorities and follow-up, and helping maintain an efficient workflow across a high volume of opportunities and practice areas. 
  • Coordinate pitches and prospective client meetings, including scheduling internal and external participants, preparing agendas and background materials, managing logistics, and ensuring teams are prepared in advance. 
  • Support proposal development and production by coordinating timelines and inputs, maintaining proposal materials, drafting and editing content as needed, proofreading final documents, and ensuring deliverables are completed accurately and on time. 
  • Maintain the firm’s new business pipeline and CRM, accurately entering and updating prospective clients, opportunity, pitch, proposal, and other relevant information and ensuring data is complete and current. 
  • Track new business activity and follow-up, maintaining clear records of next steps, deadlines, owners, and outstanding items and proactively flagging where action is needed. 
  • Conduct research and prepare background materials on prospective clients, companies, industries, and opportunities to support pitch preparation and proposal development. 
  • Provide day-to-day administrative and operational support for the new business function, responding to requests, coordinating across teams, and helping resolve scheduling, workflow, and process needs. 
  • Support new business reporting and analysis by maintaining underlying data, preparing recurring reports and materials, and assisting with Excel-based analysis of pipeline and business development activity. 
  • Coordinate firmwide new business initiatives, including meetings, trainings, office hours, and other programs designed to strengthen business development efforts across the firm. 
  • Maintain new business resources and materials, including proposal templates, credentials, case studies, team information, and other content used throughout the pitch and proposal process. 
  • Serve as a cross-practice coordinator, working with colleagues across the firm to gather information, manage deadlines, communicate updates, and keep new business workstreams moving. 

Who you are 

  • Three to five years of experience in an administrative, operations, project management, business development, or professional services environment. 
  • Exceptionally organized and detail-oriented, with the ability to manage complex scheduling, multiple workstreams, and competing deadlines without losing track of details. 
  • Proactive and responsive, with the judgment to anticipate needs, identify outstanding items, and follow through without requiring constant direction. 
  • Strong writing, editing, and proofreading skills and an ability to produce polished, accurate work. 
  • Excellent project management skills, with experience coordinating people, timelines, materials, and deliverables. 
  • Strong communicator who can work effectively and professionally with senior leaders, colleagues across teams, prospective clients, and external stakeholders. 
  • Proficient in Microsoft Excel and PowerPoint and comfortable working with data, reports, and business processes. 
  • Familiarity with CRM platforms preferred; training will be provided. 
  • Flexible, adaptable, and collaborative, with the ability to work effectively in a fast-paced environment where priorities can shift quickly. 
  • Interested in developing a deeper understanding of business development, professional services, and the industries and issues affecting Invariant’s clients. 

The target salary range for this role is $95,000 – $120,000 USD annually. The base salary will be determined based on skills, experience, and market data.
