Description

About the Role:

We are seeking a highly organized and strategic Senior Project Manager to

join our operations leadership team. This role requires a dynamic professional capable of

overseeing massive multi-site retail and AV rollouts from initial proposal to final invoice. You will

serve as the hub of your projects—coordinating field technicians, managing supply chain

logistics, building estimates, and collaborating with our internal accounting and business

development teams to ensure seamless execution and profitability.

Key Responsibilities:

Project Planning & Execution

 - Plan, schedule, and execute complex, high-volume multi-site rollouts (ranging from 100

to 1,500+ locations) for enterprise retail and corporate clients.

 - Develop aggressive but realistic project timelines, capacity plans, and installation paces

to meet strict client deadlines.

 - Coordinate complex project logistics, including warehousing, material kitting, and

staggered drop-shipments to align with technician arrival dates.

Estimating & Financial Management

 - Develop comprehensive project proposals and formal quotes based on site surveys and

client scopes of work.

 - Accurately estimate costs for varying labor conditions (day vs. overnight/after-hours

rates), travel and trip charges, minor materials, and heavy equipment rentals (e.g.,

scissor lifts).

 - Monitor project profitability and ensure all change orders or scope adjustments are

captured and billed appropriately.

Vendor & Technician Management

 - Source, negotiate with, and onboard regional field technicians and subcontractors to

transition them to direct partnerships.

 - Oversee the vendor compliance process, ensuring all active partners have signed

MSAs, W-9s, and up-to-date Certificates of Insurance (COIs) on file.

 - Dispatch work orders to field teams, track their daily progress, and provide technical or

logistical troubleshooting support as needed.

Cross-Functional Leadership & Administration

 - Act as the primary operational liaison between Business Development, Accounting, and

the Client.

 - Troubleshoot and resolve complex billing bottlenecks, ensuring field teams submit the

exact documentation (serial numbers, task IDs, photos) required for specific client

invoicing portals.

 - Develop standard operating procedures (SOPs) to streamline inter-departmental

workflows and improve the speed of invoice approvals.

Requirements

Qualifications:

 - 5+ years of experience in project management, specifically in facility maintenance, AV

installations, or multi-site retail rollouts.

 - Strong financial acumen with proven experience building complex project estimates and

proposals.

 - Extensive experience managing and onboarding third-party contractors, subcontractors,

and direct technicians.

 - Exceptional organizational skills with the ability to manage hundreds of moving parts

(shipments, tech schedules, store openings) simultaneously.

 - Proficiency in tracking projects through CRM/Project Management software (e.g.,

Salesforce) and managing spreadsheet-based invoicing.
