This position serves as the company’s sales and use tax subject matter expert, overseeing nexus, registrations, taxability, exemption certificates, billing, tax systems, reconciliations, returns, audits, and remediation. Will be responsible for independently assessing the current environment, identifying risks and gaps, establishing processes, and managing the full sales and use tax lifecycle.
Sales & Use Tax Compliance
- Own multi-state sales and use tax compliance across applicable states and local jurisdictions.
- Conduct ongoing nexus reviews and identify new registration and filing obligations.
- Manage state and local registrations, filing frequencies, payments, and compliance requirements.
- Prepare, review, and file sales and use tax returns accurately and timely.
- Reconcile sales tax collected and use tax accrued to the general ledger and resolve discrepancies.
- Monitor changes in tax laws, rates, exemptions, and filing requirements.
- Monitor and manage applicable state franchise tax and other state business tax registration, filing, and compliance requirements.
- Identify additional state registration and filing obligations resulting from nexus or changes in the company’s business activities.
Taxability & Research
- Determine taxability of products, services, equipment rentals, recyclable materials, freight, transportation, and other transactions in the recycling nature of business.
- Evaluate tax implications of new products, services, customers, contracts, and business activities.
- Document tax positions and research to support audit defense.
Exemption Certificates
- Own the company’s exemption and resale certificate process.
- Establish procedures for collecting, validating, tracking, renewing, and maintaining certificates.
- Ensure customer exemption status is properly reflected in billing and tax systems.
Billing & Tax Systems
- Partner with Billing, Finance, IT, and Operations to ensure sales tax is accurately calculated, billed, collected, and recorded.
- Lead or support implementation and configuration of a sales tax engine
- Establish tax codes, product mappings, customer exemptions, and jurisdiction rules.
- Support integrations between the tax engine, ERP, accounting, billing, transportation/dispatch, and other operational systems.
- Test system changes and resolve discrepancies between systems, tax returns, and the general ledger.
Audits & Remediation
- Manage audits from initial notice through resolution.
- Respond to auditor requests and prepare supporting data and documentation.
- Research and defend the company’s tax positions.
- Identify historical exposures and lead remediation efforts, including Voluntary Disclosure Agreements (VDAs) when appropriate.
- Implement corrective actions to prevent recurring audit issues.
Process Development & Partnership
- Build and document sales and use tax processes and controls where they do not currently exist.
- Establish procedures for customer setup, exemptions, taxability, billing, filing, payment, and reconciliation.
- Train internal teams on sales tax requirements.
- Work with outside CPA firms, tax advisors, software providers, and taxing authorities as needed.
Qualifications
The ideal candidate has owned sales and use tax compliance rather than only supported it, and is energized by building a function where processes, systems, and taxability positions need to be established from the ground up.
- Position can be fully remote
- Bachelor’s degree in Accounting, Finance, Tax, Business, or related field.
- 5+ years of multi-state sales and use tax experience, including independent ownership of compliance for a company or client portfolio.
- Strong knowledge of state and local sales and use tax, including nexus, exemptions, taxability, registrations, and compliance.
- Experience managing sales and use tax audits.
- Experience with exemption and resale certificates.
- Strong tax research, analytical, and problem-solving skills.
- Strong Excel and data analysis skills.
- Experience developing processes, controls, and documentation.
- Excellent organization and attention to detail.
- Self-directed and highly organized, able to prioritize multiple projects with minimal oversight.
